# Role Summary
We are seeking a **Technical Operations Executive Assistant** to serve as a high-functioning operational partner. This role sits at the intersection of executive assistance, operations management, and technical execution. It is designed for someone who is equally comfortable analyzing data in Google Sheets, setting up a new tool from a tutorial, attending tea
The ideal candidate is analytically sharp, highly adaptable, and genuinely tech-savvy — not someone who follows instructions step by step, but someone who understands the why behind tasks, anticipates needs, and proactively builds structure where none exists. This role acts as a filter between the principal and the sales team, managing information flow and ensuring nothing critical falls through the cracks.
# Key Responsibilities
## Executive Support & Daily Shadowing
- Attend tea
- Act as the communication filter between the sales team and the principal — fielding questions and resolving issues independently where possible
- Serve as an active sounding board: listen to brain dumps, ask the right clarifying questions, and convert ideas into structured, actionable plans
- Manage the principal’s personal inbox and Slack — triaging messages, drafting responses, and flagging priority items
- Handle calendar scheduling, task prioritization, and daily operational setup to keep the principal’s day on track
## Data Management & Analysis
- Clean, organize, and maintain sales rep data across CRM platforms and spreadsheets
- Filter and manage lead lists to ensure data accuracy and usability for the sales team
- Build and maintain Google Sheets trackers, formulas, and pivot tables for operational reporting
- Pull, compile, and send call recordings as needed for review or quality assurance
- Conduct data analysis to surface insights, flag anomalies, and support decision-making
## CRM & Systems Management
- Manage and maintain lead and contact records across Close CRM and Go High Level (GHL)
- Set up new tools and integrations independently using available documentation or tutorials — no hand-holding required
- Configure and manage platforms such as Sendinblue (Brevo) and iClose as directed
- Ensure CRM pipelines, workflows, and automations are running accurately and efficiently
- Identify gaps in existing systems and recommend or implement improvements proactively
## Operations & Automation
- Build and manage backend automations to streamline repeatable tasks across sales and operations
- Think analytically to identify automation opportunities — not just execute what is requested, but engineer solutions from scratch
- Support the development of a “second brain” system using AI tools for information filtering, task management, and decision support
- Handle cross-functional repeatable tasks spanning sales management, CBA operations, and general business administration
- Document processes and standard operating procedures as systems are built and refined
# Skills & Qualifications
## Non-Negotiable Skills
- Advanced proficiency in Google Sheets, including complex formulas and pivot tables
- Familiarity with Slack and Google Calendar for communication and scheduling management
- Experience with LLMs and AI tools (Claude, ChatGPT, or similar) for productivity and task support
- Strong data analysis skills — ability to work with raw data sets, identify patterns, and produce clean outputs
- Exceptional listening and communication skills — able to extract structure from fast-paced or scattered verbal direction
## Technical Skills
- Hands-on experience with Close CRM and/or Go High Level (GHL)
- Ability to set up and configure SaaS tools independently using tutorials and documentation
- Experience building or managing automations within CRM or workflow platforms
- Familiarity with call tracking systems and the ability to pull and manage call recordings
- Comfort with Manus or equivalent AI productivity and automation tools (preferred)
## Preferred Qualifications
- Previous experience as an EA or Operations Manager supporting a sales-led organization
- Background working directly with a founder, senior executive, or team leader in a high-autonomy capacity
- Experience managing or filtering communication between leadership and a sales team
- Track record of building operational systems or automations from the ground up
- Demonstrated ability to thrive in fast-paced, evolving environments with shifting priorities
