JOB OVERVIEW

We are a fast-growing New Zealand infrastructure and trade services company operating across plumbing, drainage, civil and environmental services.

We are seeking a highly organised and systems-focused Operations & Systems Coordinator to support our growing team and help streamline daily operations across multiple branches.

This is a long-term remote role for someone who is proactive, detail-oriented, technically capable, and confident managing business systems, Google Workspace, reporting, and administration within a fast-paced construction environment.

You will work closely with the company director and operations team to improve workflow efficiency, manage internal systems, and support day-to-day business operations.

Key Responsibilities
Daily responsibilities may include:
Managing company Gmail inboxes and shared email accounts
Setting up and maintaining Google Workspace user accounts
Configuring company email addresses and domain connections
Managing DNS records and domain settings where required
Organising Google Drive folders and company documentation
Maintaining Excel and Google Sheets reports
Tracking leads, enquiries and job progress
Assisting with scheduling and job management systems
Preparing invoices and supporting Xero administration
Updating job notes, statuses and client records
Uploading photos, reports and documentation to job files
Following up outstanding invoices and client communications
Supporting onboarding and setup of new staff accounts
Assisting with workflow automation and operational improvements
Supporting management with reporting and administration tasks
Required Skills & Experience
Applicants should have:
Strong experience with Gmail and Google Workspace
Experience setting up domains, DNS records and company emails
Strong Excel and/or Google Sheets skills
Excellent written and spoken English
High attention to detail and organisation
Ability to work independently and proactively
Strong problem-solving ability
Experience in remote administration or operations support

Preferred Experience
The following experience is highly valued but not essential:
Xero accounting software
Fergus, Simpro or other job management systems
Construction, plumbing or trades administration
KPI reporting and operational reporting
Workflow automation systems
CRM or lead management systems
