SuiteDash / Zoho One / Automation Systems Architect for Client Portal Buildout

OccuPros LLC is hiring an experienced systems architect / operations automation specialist to design and build a full production portal system using SuiteDash, Zoho One, Google Workspace, WordPress/LearnDash, Zapier/Zoho Flow, and related tools.

OccuPros is a U.S.-based workplace safety company providing safety training, consulting, staffing, PPE/equipment, compliance support, Safety Academy online training, and expert witness services. Our brand is “The Complete Safety Partner” and our tagline is “Creating Safer Futures, Today.” We serve employers and safety professionals nationwide.

We purchased SuiteDash Pinnacle and need it configured into three beautifully designed, production-ready portals:

Client Safety Hub
Clients log in to view dashboards, submit service/training requests, upload documents and rosters, view invoices/payment links, access completed training packets, sign documents, view recommendations/upsells, request PPE/equipment/staffing/Mobile Training Van services, and open support tickets.
Staff Operations Hub
Internal staff manage service requests, training requests, projects/tasks, document review, training packets, Safety Pro workflows, support tickets, and reporting.
Safety Pro Hub
1099 Safety Pros onboard, upload compliance documents, view open gig opportunities, see assigned jobs, submit job reports/photos/files, and access training resources.

The original SuiteDash plan includes these three personas, dashboards, menus, file vaults, permissions, and implementation steps.

We want you to recommend the most efficient architecture. Everything does not need to be forced into SuiteDash if Zoho, Google, WordPress, Zapier, or another tool is better for a specific workflow.

Critical Training Signature Workflow

OccuPros conducts safety trainings. We need a clean electronic workflow to:

Collect signatures from all attendees on one shared training roster
Collect individual signatures from attendees on their own training documents
Store signed rosters, individual signed documents, certificates, and training records
Compile final training packets
Deliver completed training packets to clients through their SuiteDash portal

Possible tools include SuiteDash Forms/FLOWs, Zoho Sign, Zoho Writer, Zoho Forms, Zoho WorkDrive, Google Workspace, WordPress plugins, LearnDash, Zapier, Zoho Flow, or custom automation.

Responsibilities

You will help design, build, test, and document the full system.

Main responsibilities:

Audit our current SuiteDash, Zoho, Google, WordPress/LearnDash, Brevo, and Zapier setup
Recommend the best system architecture
Configure three SuiteDash portals: Client, Staff, and Safety Pro
Design polished dashboards, menus, forms, and workflows
Configure file vaults/folder structures and role-based permissions
Build service request, training request, support, upload, Safety Pro onboarding, and job report forms
Create the training roster/signature/document workflow
Configure project/task templates and statuses
Configure support ticket routing
Set up or document automations using SuiteDash, Zoho Flow, Zapier, APIs, or Google Workspace
Plan migration from Google Drive/Zoho WorkDrive/Zoho Creator where needed
Test permissions so clients and Safety Pros only see the correct files
Provide screenshots, documentation, and a final runbook
Required Experience

SuiteDash experience is strongly preferred, but a strong systems architect with Zoho/WordPress/automation experience may still be considered.

What Success Looks Like

The project is successful when:

The Client Safety Hub is polished and production-ready
The Staff Operations Hub is polished and production-ready
The Safety Pro Hub is polished and production-ready
Clients can only see their own company data/files
Safety Pros can only see their own documents, assigned jobs, and eligible open gigs
Clients can submit requests, upload files, view invoices, access training packets, and use support
Staff can manage requests, tasks, training packets, reports, and reviews
Safety Pros can onboard, upload compliance docs, and submit job reports
Training roster and individual signature workflows work
Completed training packets can be delivered through SuiteDash
Automations and integrations are documented
Final handoff includes screenshots and a runbook
Project Timeline

This project can take up to one month. We are not looking for the fastest setup. We want it done correctly, securely, beautifully, and in a way our team can maintain.
