JOB OVERVIEW

Overview:
As a Short-Term and Long-Term Rental Property Manager, you will be responsible for overseeing the day-to-day operations of a portfolio of residential properties. Your duties will include guest experience, vendor coordination, listing optimization, property maintenance, Airbnb/OTA coordination, and administrative tasks.


Work Hours (US time)
On call availability from 9am EST to 9pm EST Monday-Sunday (7 days/week) on an as needed basis. This means you will need stable internet and constant access to Airbnb during this time and be available to support immediately in case any time-sensitive issue arises (guest inquiry, guest question, guest complaint, cleaning or maintenance, ordering supplies, etc.)
4 productive hours on Monday - Friday (5days/week), at the time of your choice


Responsibilities:
A. Short-Term Rentals:


1. Guest Experience:
Ensure guests receive all necessary information about check-in, codes, house rules, manuals, and other relevant details.
Respond promptly and effectively to guest questions and concerns.
Address guest complaints in a timely and professional manner.
Keep a detailed log of guest feedback and suggestions for improving properties and processes.


2. Vendor Management:
Create and maintain a prioritized list of vendors for emergency situations.
Establish and maintain positive relationships with vendors.
Ensure that cleaners are following the scheduled cleaning procedures.
Identify and hire vendors or contractors to repair property items as needed, both based on guest reports and cleaner observations.
Pay cleaners, vendors, and contractors promptly upon receipt of invoices.


3. Listing Optimization:
Write informative and engaging reviews and responses to guest reviews.
Update photos, titles, and descriptions every two days to maintain freshness and attract potential guests.
Regularly update listings based on guest feedback, owner requests, and best practices from other well-written listings.
Update scheduled messages and quick replies as needed to provide timely and helpful information to guests.
Track and analyze listing metrics on Airbnb, such as views, conversion rates, and other relevant data.


4. Property Maintenance:
Develop and maintain a schedule for non-urgent and routine property maintenance tasks.
Coordinate with vendors to schedule and complete non-urgent and routine maintenance items.


5. Airbnb/OTA Coordination:
Submit requests for reimbursement or damage claims to Airbnb or other online travel agencies (OTAs).
Collaborate with OTAs to remove negative reviews or address guest complaints.


6. Airbnb Reporting:
Complete all required quarterly and annual reports for short-term rentals.


B. Long-Term Rentals:


1. Marketing:
List properties on relevant platforms and reach out to interested renters.
Conduct thorough renter screenings to ensure tenant suitability.
Onboard new renters by providing necessary information and completing required paperwork.


2. Communications:
Respond promptly to renter inquiries and concerns.
Send regular announcements to renters regarding property updates, community events, or other important information.


3. Property Maintenance:
Develop and maintain a schedule for property maintenance tasks.
Coordinate with vendors to schedule and complete non-urgent and routine maintenance items.


C. Administrative:
1. Finance:
Conduct monthly financial reviews to assess the financial health of the rental properties.
Manage credit card transactions and reconcile accounts.
Prepare and submit required financial reports.
Process manual payments as needed.
Refresh annual insurance quotes to ensure adequate coverage.
Maintain organized records of receipts and other financial documents.



Qualifications:
Strong organizational and time management skills
Excellent communication and interpersonal skills
Proficient in property management software and tools
Experience in customer service
Knowledge of rental property management regulations
Diligent and ethical work ethic
Ability to independently identify problems and develop effective solutions
Excellent writing skills
High emotional intelligence (EQ)
Ideally, experience as a co-host or similar role
Ability to work in US time zones and respond to emergencies as needed
Flexibility and willingness to go above and beyond when necessary
