Shipping Operations Specialist

Position Overview

We are seeking a detail-oriented Shipping Operations Specialist to join our dynamic logistics team. This role will handle comprehensive shipping operations across multiple service lines including Less Than Truckload (LTL), Full Truckload (FTL), and UPS small parcel services. The ideal candidate will manage end-to-end shipping processes while providing exceptional customer service and operational support.

Key Responsibilities

LTL Operations

* Process LTL shipment quotes and bookings through our TMS platform and carrier systems
* Generate and review Bills of Lading (BOLs) for accuracy before carrier pickup
* Coordinate with LTL carrier network
* Handle freight classification using NMFC guidelines and assist customers with proper commodity coding
* Manage volume shipments requiring special handling
* Process accessorial services including liftgate, inside delivery, residential delivery, and appointment scheduling
* Monitor transit times and proactively communicate to customers
* Handle reconsignments and service failures with alternative carrier solutions

Truckload Operations

* Coordinate full truckload shipments with 45,000+ carrier network
* Manage flatbed, dry van, and specialized equipment requirements
* Process truck-in-hand bookings and capacity management
* Handle multi-stop deliveries and complex routing requirements
* Manage detention, lumper fees, and accessorial charges

UPS Small Parcel Operations

* Process UPS shipments through WorldShip, TMS, and integration platforms
* Process international shipments and customs documentation

Customer Service & Communication

* Respond to quote requests within targeted timeframe
* Provide proactive shipment tracking and status updates
* Coordinate with billing team if needed
* Process claims and coordinate with carriers for resolution
* Maintain customer communication through email, phone, and other communication channels

Documentation & Compliance

* Generate accurate BOLs with proper commodity descriptions and handling instructions
* Ensure compliance with DOT regulations and carrier requirements
* Maintain proper documentation for hazmat and dangerous goods shipments
* Process export documentation and customs requirements
* Handle weight certificates and freight classification disputes

Required Qualifications

• Minimum 2 years experience in freight brokerage, dispatch, logistics coordination, or carrier operations in the US Only.
• Excellent spoken and written English
• Ability to communicate professionally with customers, carriers, and internal teams
• Stable high-speed internet and reliable computer/headset setup
• Quiet work environment with minimal background noise
• Ability to work during U.S. business hours
• Strong multitasking and follow-up skills
• Experience using TMS
• Must be highly responsive and organized
• Comfortable working in a KPI/performance-driven environment
• Must be available for camera-on meetings when required
• This is a long-term full-time position — not suitable for applicants managing multiple full-time jobs simultaneously

Preferred Qualifications

* Experience with UPS partnership programs and small parcel operations
* Knowledge of international shipping and customs procedures
* Previous experience in customer-facing logistics roles
* Understanding of freight insurance and liability coverage
