About This Role
This is a career-level property management position — not a virtual assistant role.

Suites by VTJ is a property management company based in Raleigh, North Carolina. We manage a mixed portfolio of long-term residential, commercial, and short-term rental properties. Part of our tenant base communicates exclusively in Spanish, and we need a Senior Property Manager who can serve both English and Spanish-speaking tenants at the same professional standard.

You will be the operational decision-maker for the portfolio. The Junior Assistant Property Manager reports to you. The CEO trusts you to handle what requires judgment and expects to be involved only when it truly needs ownership-level input.

If you have real property management experience, a proven remote work track record, and the discipline to run a portfolio without daily supervision — this role was built for you.

What You Will Own
Lease Operations: Review and finalize all lease agreements, renewals, addenda, and amendments before they go out for signature. You are the last check — nothing with a legal implication leaves without your review. Coordinate DocuSign routing and confirm completion at every stage.

Tenant Relationship Management: Handle all escalated tenant communications — complaints, disputes, delinquency conversations, move-in and move-out coordination. Manage the full scope of Spanish-language tenant accounts without routing through the CEO. Respond to all tenant messages within the 2-hour standard during your shift.

Rent Collection Follow-Through: Ensure all late accounts have a documented touchpoint by the 3rd of every month without exception. Send reminders, issue late notices, document every step, and hand clean records to the accounting team. Conduct payment plan conversations with professionalism and firmness in both English and Spanish.

Maintenance Oversight and Vendor Management: Track every open maintenance ticket from report to confirmed resolution. Hold vendors accountable to their timelines. Verify insurance certificates and contract compliance. Update tenants proactively — no tenant should ever have to ask for a status update on an open ticket.

Junior APM Direction and Quality Control: Review the Junior APM's daily output before it reaches tenants. Catch errors, address them directly, and raise communication and documentation standards over time. Their performance is part of your accountability.

Compliance and Emergency Readiness: Keep all properties compliant with HOA rules, local policy, and vendor contract requirements. Maintain an up-to-date emergency contact and response protocol for each property so urgent after-hours situations have a clear first action.

Skills Required
Property Management Skills
- Lease administration: drafting, reviewing, and finalizing residential and commercial leases, addenda, and amendments
- Tenant communication and relationship management — English and Spanish
- Rent collection management: reminders, late notices, payment plans, and documentation
- Maintenance coordination: ticket tracking, vendor follow-up, insurance certificate verification
- Move-in and move-out coordination: inspections, key handoffs, deposit documentation
- Lease renewal management: proactive outreach, negotiation, and completion
- HOA compliance: routing notices, maintaining records, flagging violations
- Vacancy management: tour coordination, prospect communication, and conversion
- E-signature workflow management (DocuSign or equivalent)

Technical and Tool Skills
- Property Management Software: DoorLoop (preferred) or Buildium, AppFolio, Yardi, or equivalent — proficiency required
- Google Workspace: Gmail, Google Docs, Google Sheets, Google Drive, Google Calendar — daily use
- Project Management: ClickUp or equivalent — task tracking and workflow management
- Communication: Slack for internal messaging, Ooma or VoIP for tenant and vendor calls
- Time Tracking: Hubstaff — used for remote accountability during shift hours
- Video Meetings: Google Meet for team check-ins and candidate interviews
- Document Design: Canva — basic tenant communication materials when needed

Soft Skills
- Extreme attention to detail: documents, dates, dollar amounts, and addenda — especially under time pressure
- Remote self-management: ability to run a full workday without a manager present, with proactive communication discipline
- Independent judgment: makes decisions at the portfolio level and escalates only what genuinely requires CEO input
- Professional written and verbal English: tenant notices, lease correspondence, and vendor communication
- Professional written and verbal Spanish: strongly preferred — formal tenant correspondence, complaints, and collections calls
- De-escalation: calm, firm, and solutions-oriented with difficult or upset tenants in both languages
- Team direction: raises the output quality of a junior tea ---------- mber through direct, specific, non-punishing feedback
- Prioritization under pressure: manages multiple open items across multiple properties simultaneously without dropping details
- Ownership mindset: closes every loop, documents every touchpoint, and surfaces problems before they become visible to leadership

You Are the Right Fit If
- You have 3 or more years in property management, leasing, or real estate operations
- You have managed both residential and commercial properties — single-family-only experience is a gap for this portfolio
- You have worked fully remote before and can describe what your personal accountability system looks like
- You have directed or reviewed a junior tea ---------- mber's work and corrected their output directly
- You write and speak Spanish at a professional level — formal correspondence, not just conversational
- Your home office is ready: 60 Mbps or faster, dual monitors, 16 GB+ RAM or Mac, dedicated headset, quiet private workspace

This Role Is Not For You If
- You need daily task lists to know what to prioritize
- You have only worked in-office or hybrid and have no fully-remote track record
- Difficult tenant conversations — in either language — make you uncomfortable
- Documentation is something you do when you remember, not as a first instinct

Home Office Requirements
Your setup is verified during the interview. Minimum standards:
- Internet: 60 Mbps download or faster (screenshot required at application)
- Monitors: Dual monitors
- Computer: Modern multi-core CPU, 16 GB+ RAM, or Mac equivalent
- Audio: Professional-grade headset — no laptop speakers or earbuds
- Workspace: Private, quiet, and professional-looking on camera

Hiring Process
1. Application — Four knockout questions + internet speed screenshot. Incomplete applications are not reviewed.
2. Pre-Assessment — 45–60 minute written assessment sent to passing applicants only. Tests scenario judgment, written communication, remote work discipline, and personality fit.
3. Google Meet Interview — 45-minute structured behavioral interview with the CEO. Includes a live workspace verification. Bilingual candidates will be checked on Spanish during the call.
4. Reference Checks — Finalists arrange calls between the CEO and two former direct supervisors. This step is mandatory. We tell every candidate this at the start.
5. Offer — Extended to one finalist on the day the decision is made.
