We are looking for a highly proactive, independent, and detail-oriented Senior Procurement & Preconstruction Manager to strengthen our subcontractor sourcing, procurement execution, cost discipline, and preconstruction readiness across projects. This person will play a key role in helping us scale by improving vendor and subcontractor relationships, standardizing materials and pricing, and ensuring projects are set up for successful execution from the start.

Role Overview
This role sits at the intersection of procurement, subcontractor management, preconstruction, and project readiness.

The right candidate will not simply coordinate tasks. They will take ownership of key procurement and subcontractor workflows, drive follow-through across teams, and improve the systems we use to support execution. This role should be able to operate with a high degree of independence, while partnering closely with Operations, PMs, Design, and Sales.

This person will be expected to actively coordinate procurement and subcontractor readiness against project schedules and surface risks early.

Core Responsibilities
1. Subcontractor sourcing, qualification, and buyout
- Independently lead broad RFP efforts across trades and projects
- Identify, vet, and build relationships with new subcontractors
- Maintain and strengthen a reliable roster of qualified trade partners
- Compare bids, level scopes, identify gaps, and support buyout decisions
- Track subcontractor responsiveness, pricing, reliability, and availability

2. Subcontractor contracting and onboarding
- Under Operations leadership, take ownership of subcontractor contract coordination and follow-through
-Support scope alignment, pricing confirmation, and contract readiness before work is released
- Coordinate collection and organization of trade partner documentation, including onboarding and compliance items as needed
- Help ensure subcontractors are fully ready to perform without avoidable delays

3. Procurement planning and execution
- Own procurement efforts across projects, including approvals, ordering, vendor follow-up, delivery coordination, and issue resolution
- Track lead times and proactively identify procurement risks before they affect field execution
- Coordinate across PMs and Operations to ensure materials are ordered accurately and arrive when needed
- Help resolve procurement-related issues, including substitutions, returns, refunds, credits, and damaged or delayed materials

4. Materials standardization and vendor management
- Develop and maintain standardized materials lists for CTH’s standard models
- Improve consistency in selections, pricing, and procurement workflows across projects
- Identify and establish relationships with new vendors
- Negotiate pricing, improve vendor responsiveness, and support long-term purchasing efficiency
- Monitor opportunities related to pricing changes, promotions, and alternative sourcing

5. Permitting Coordination and Regulatory Readiness
- Manage permitting coordination across residential projects, including tracking submission requirements, review timelines, revisions, and approval status to help prevent project delays.
- Coordinate with architects, engineers, expeditors, municipalities, and utility agencies to ensure permit packages are complete, code-compliant, and aligned with project scope and construction schedules.
- Proactively identify permitting risks, missing documentation, zoning-related issues, or approval bottlenecks, and drive follow-through with internal teams and external agencies to maintain project readiness.

6. Cost feedback, pricing refinement, and proposal support
- Leverage actual material and subcontractor costs to improve future pricing accuracy
- Refine cost assumptions and standard proposal inputs in JobTread
- Help streamline and expedite proposal generation for standard and repeatable project types
- Support value engineering and pricing decisions with a strong understanding of real project costs and market conditions

7. Systems, SOPs, and process improvement
- Refine and standardize the systems used to track procurement requests, approvals, deliveries, returns, refunds, credits, and vendor follow-up
- Build and improve SOPs, templates, trackers, and workflows that increase visibility and accountability
- Improve handoffs between Sales, Design, Procurement, PMs, and Operations
- Help create more scalable procurement and preconstruction systems as the company grows

8. Reporting, documentation, and visibility
- Maintain clear internal reporting on procurement status, subcontractor status, open risks, and key next steps
- Keep records and documentation organized to support execution and internal visibility
- Contribute to closeout and project documentation where needed, though this is a secondary responsibility rather than the center of the role

What We’re Looking For
1. Experience
- 5+ years of experience in procurement, estimating, preconstruction, project coordination, or buyout within residential construction
- Strong hands-on experience in U.S. residential construction
- Experience working with U.S.-based subcontractors and suppliers
- Experience owning procurement, subcontractor coordination, or preconstruction workflows with limited oversight

2. Technical / Functional Strength
- Strong understanding of residential construction methods, materials, trades, scopes, and cost structures
- Ability to read plans, interpret scopes, and identify missing information or execution risks
- Strong commercial judgment around pricing, vendor reliability, subcontractor quality, and lead-time risk
- Ability to use actual cost data to improve pricing assumptions and systems over time

3. Skills
- Strong ownership and follow-through
- Highly proactive and able to work independently
- Strong organizational and prioritization skills across multiple active projects
- Strong communication skills and comfort coordinating across functions
- Strong negotiation and vendor/subcontractor management ability
- Systems-oriented mindset with the ability to improve processes, not just operate within them

4. Tools
- Proficiency in spreadsheets and construction/project management systems
- Experience with JobTread, ClickUp, Buildertrend, Procore, Contractor Foreman, Asana, ---------- , or similar tools is a must

- improve pricing accuracy and proposal speed using actual cost feedback
- reduce avoidable execution delays caused by procurement or subcontractor gaps
