We are an established Australian events company delivering:
20–30 large-scale summits per year (100–300 delegates)
60+ short courses annually (5–20 participants)
Events across Australia and New Zealand
We are hiring a Senior Events & Operations Manager to work directly with our General Manager and become one of the most important operational leaders in the business.
This is a permanent, long-term role.
This is not a junior VA position. We are looking for someone experienced, proactive and confident managing multiple events at once.
You will collaborate with a team of 5–6 Filipino-based tea
*** What You’ll Be Responsible For***
Delegate & Customer Communications
Managing 40–50+
Responding to delegate enquiries professionally and confidently
Proactively sending event reminders and updates
Handling complex customer service issues with judgement
Maintaining fast response times and strong attention to detail
Speaker Management
Managing speaker communication from invitation through to event delivery
Drafting professional replies to senior executives and executive assistants
Booking flights and accommodation
Ensuring bios, headshots and presentations are received on time
Following up proactively without being prompted
CRM & Data Management
Managing delegate data in HubSpot
Updating and maintaining CRM records accurately
Cleaning and manipulating Excel spreadsheets
Identifying errors or risks before they become problems
Managing customer pipelines in HubSpot
Event Logistics
Liaising with venues regarding event logistics and AV
Assisting with drafting and proofreading agendas
Coordinating with graphic designers on event materials
Making ad hoc website updates
Supporting live event coordination when required
Executive & Operational Support
Organising meetings and managing calendars
Drafting professional communications on behalf of the GM
Anticipating operational needs
Managing multiple event timelines simultaneously
*** Required Skills & Experience ***
Proven experience in event management or senior executive support
Direct event management experience highly favourable
Experience managing multiple projects or events at the same time
Advanced Microsoft Office skills (especially Excel and Outlook)
Strong CRM experience (HubSpot preferred)
Adobe Acrobat and PDF editing experience
Experience using Zoom, Microsoft Teams and online meeting platforms
Confident and professional phone manner
Excellent written and spoken English
Strong data accuracy and attention to detail
Ability to independently manage high
Proactive problem-solving mindset
Experience using large language models such as ChatGPT to improve workflow, drafting, research and operational efficiency
