JOB OVERVIEW

Are you a highly organized, tech-savvy professional who thrives in a fast-paced environment? We’re seeking a proactive Remote Lead Scheduler & Admin Assistant to support a busy US-based construction company. In this role, you will be the central hub connecting our project managers with qualified leads, while ensuring the behind-the-scenes admin runs smoothly. You must be able to work during US business hours and are comfortable working on weekends if needed. You will be paid on a weekly basis + HMO.

Responsibilities:

- Inbound/Outbound Lead Follow-up: Promptly contact and qualify new leads via phone, email, and text
- Schedule Coordination: Book appointments, site visits, and estimates between clients and project managers
- CRM Management: Accurately input lead details, update statuses, and track communication logs
- Customer Screening: Vet potential clients to ensure projects fit the company’s scope and service area
- Daily Admin Support: Manage email inboxes, draft correspondence, and organize digital files/job folders
- Process Improvement: Identify bottlenecks in the lead-to-estimate process and suggest efficiency hacks

Qualification & Experience Requirements:

- Minimum 2 years of experience in administrative support, scheduling, or customer service (construction or trade industry experience preferred)
- Fluent in English (written and oral) with a neutral or US-friendly accent
- Experience working with CRM software (e.g., JobNimbus, Buildertrend, HubSpot, or Salesforce)
- Tech-savvy: Comfortable using VoIP phone systems, Google Workspace/MS Office, and project management tools
- Detail-oriented with the ability to juggle multiple calendars and changing priorities
- Reliable high-speed internet and a quiet home office setup

Preferred Skills:

- Familiarity with the US construction/home services industry (e.g., roofing, remodeling, HVAC, or general contracting)
- Experience handling high call volumes and SMS/text-based customer communication
- Self-starter who requires minimal supervision and takes ownership of tasks
- Calm under pressure and able to problem-solve when schedules conflict
- Professional, patient, and courteous when dealing with homeowners and trade partners
- Available to start immediately and work Monday–Friday (possible weekend shift) during US time zones
