JOB OVERVIEW

Job Title: Sales & Client Success Coordinator

Location: Remote (Overseas)

Hours: Part-Time & Flexible

Expected workload is approximately 16-24 hours per week initially, with the opportunity to increase as the business grows.
The ideal candidate will be available and able to respond promptly to new enquiries, with a target response time of under 5 minutes for inbound leads.

This role is output focused and there are no fixed working hours as long as the responsibilities are complete.

About Us

We are a growing short-term rental and property management company helping landlords maximise their rental income while reducing the day-to-day stress of managing their properties.

We are looking for a highly organised and proactive Appointment Setter & Sales Support Coordinator to support our sales process, qualify new enquiries, and assist the directors with administrative tasks.

Key Responsibilities

Lead Qualification & Appointment Setting
• Contact all new inbound leads within 5 minutes of enquiry where possible.
• Conduct qualification calls using a structured set of questions.
• Accurately record all responses within our CRM and lead qualification forms.
• Score leads according to our qualification criteria.
• Identify qualified opportunities and book appointments into the directors' calendars.

Sales Administration
• Prepare property analysis reports using company templates and systems.
• Send follow-up emails and supporting information to prospective clients.
• Prepare and send client agreements and contracts.
• Maintain accurate records of all client interactions.

Follow-Up & Pipeline Management
• Follow up with prospects after sales meetings.
• Re-engage leads who have become unresponsive.
• Ensure all opportunities receive appropriate follow-up until a decision is made.
• Keep the sales pipeline organised and up to date.

Administrative Support
• Assist directors with general administrative and operational tasks as required.
• Support project coordination and ad hoc business activities.

Requirements
• Excellent spoken and written English.
• Strong telephone communication skills.
• Previous experience in appointment setting, sales support, customer service, or virtual assistance.
• Highly organised with strong attention to detail.
• Comfortable using CRM systems, email, and online collaboration tools.
• Able to work independently and manage priorities effectively.
• Reliable internet connection and quiet working environment.

Desirable
• Experience within property, real estate, hospitality, or short-term rental businesses.
• Experience producing reports or analysing property information.

Key Performance Indicators (KPIs)
• Lead response time.
• Percentage of leads contacted within target time.
• Number of qualified appointments booked.
• Follow-up completion rate.
• CRM accuracy and data quality.
• Contract and onboarding administration completed accurately and on time.

What Success Looks Like
The successful candidate will ensure every lead is contacted quickly, accurately qualified, consistently followed up, and smoothly progressed through the sales process, helping the business convert more enquiries into management agreements while providing excellent support to the directors.
