| ABOUT THE ROLE |

We are hiring for one role and looking for a diamond. You are rare, and so is this role. This Sales Administration & Strategic Support position will join our long-term and well-established Filipino team at My Ultimate Events, Australia’s leading events company for hens, bucks, and team celebrations.

This role exists to ensure operational excellence across the sales and client communication system.
You will act as the backbone of process execution, ensuring CRM accuracy, scheduled follow-ups, structured messaging, and task allocation are completed correctly and on time. You are the safety net that ensures nothing is missed.
You will work closely with the sales and client teams, to ensure that each and every lead is handled with care and no one is left behind.

Your focus is speed, accuracy, compliance with process, and ensuring that all structured communication workflows are executed correctly. It is important that whilst many processes are structured we are looking for that special someone who understands when the typical structure doesn’t apply and the communication needs to be escalated.
You will collaborate closely with your Australian & Filipino partners, syncing daily and escalating clients if required. You will also work independently for large portions of the day, confidently managing your workload and keeping momentum moving without constant instruction.

| CORE RESPONSIBILITIES |

• Maintain CRM accuracy, ensuring all statuses, notes, tags, and follow-up dates are correctly recorded and consistently updated.
• Execute structured communication tasks, lead nurture texts, and scheduled follow-ups for dormant leads.
• Monitor scheduled follow-ups and ensure all leads are actioned at the correct time.
• Complete CRM & calendar housekeeping, including identifying gaps, missing follow-ups, or incomplete records, and correcting or flagging them.
• Create transcripts and structured notes from calls and ensure they are allocated correctly.
• Prepare and maintain accurate reports for sales reporting & data management
• Ensure every scheduled call outcome is accounted for in the correct processes.
• Identify when client communication needs to be escalated to other team members

• Able to manage multiple tasks and follow-up schedules without error.
• Reliable and consistent in completing repetitive but critical workflows.
• Understands the importance of when and how to escalate client communication

| YOU MUST HAVE |

• Experience in administration, CRM management, operations support, or structured process-based roles.
• High level attention to detail and accuracy in written work and data entry.
• Experience using Microsoft Teams, Outlook, Word, OneDrive, and CRM systems.
• Strong written English for communication tasks.
• Comfortable working in a fast-paced operational environment with deadlines.
• Quiet home office, fast wired internet, and a Windows PC (not Mac).
• Previous offshore experience with an Australian, US, or UK based company is an advantage.
• Previous experience in a sales role is also considered an advantage but not necessary

Tuesday 10:00am to 7:00pm (8:00am to 5:00pm Manila)
Wednesday 10:00am to 7:00pm (8:00am to 5:00pm Manila)
Thursday 10:00am to 7:00pm (8:00am to 5:00pm Manila)
Friday 10:00am to 7:00pm (8:00am to 5:00pm Manila)
Saturday 10:00am to 7:00pm (8:00am to 5:00pm Manila)
Brisbane is UTC+10 and does not use daylight savings.

| SALARY AND BENEFITS |
• 50,000 PHP per month depending on experience and skill.
• 13th month pay.
• All Filipino public holidays fully paid and you do not come to work.
