Vancouver Handyman & Maintenance Projects

Remote Position – Philippines Based

About Fix-It-Pros

Fix-It-Pros is a Vancouver-based handyman and property maintenance company providing residential and commercial repair, maintenance, and improvement services throughout the Lower Mainland.

We work with a network of skilled subcontractors and are looking for a highly organized Remote Subcontractor Coordinator & Job Manager to help keep projects moving smoothly.

This role is focused on coordinating subcontractors, managing schedules, communicating with customers, and ensuring projects are completed efficiently from start to finish.

The ideal candidate is proactive, organized, detail-oriented, and comfortable managing multiple jobs simultaneously in a fast-paced environment.

Preference will be given to candidates with highly neutral or North American-accented English communication skills.

Working Hours

Primary Schedule

Wednesday – Friday

* 12:00 PM – 8:00 PM Pacific Time (Vancouver)

Saturday – Sunday

* 9:00 AM – 5:00 PM Pacific Time (Vancouver)

Some flexibility may occasionally be required for:

* Scheduling changes
* Customer communication
* Emergency service requests
* Subcontractor coordination

This is a long-term remote position working North American business hours.

Core Responsibilities

Subcontractor Coordination

* Source and coordinate subcontractors for handyman, maintenance, repair, and renovation projects
* Request and compare quotes from subcontractors
* Negotiate pricing where appropriate
* Schedule subcontractors and confirm attendance
* Follow up on project progress and completion
* Coordinate schedule changes, delays, and project issues
* Ensure subcontractors have the information needed to perform work successfully

Job Management

* Create and manage work orders
* Track project status from approval through completion
* Maintain accurate notes and project records
* Monitor timelines and follow up on outstanding items
* Coordinate change orders and additional scope requests
* Assist with project closeout and documentation

Customer Communication

* Answer inbound customer calls
* Respond to customer inquiries professionally and promptly
* Provide project updates and scheduling information
* Communicate delays, changes, and next steps
* Help maintain a positive customer experience throughout each project

Administrative Support

* Maintain project documentation and communication records
* Review subcontractor invoices for accuracy
* Ensure completed work aligns with approved scope
* Assist with operational reporting and project tracking

AI & Systems Usage

* Use AI tools such as ChatGPT daily to improve:
* Communication
* Organization
* Documentation
* Workflow management
* Operational efficiency
* Work within company systems and procedures
* Continuously identify opportunities to improve efficiency and organization

Required Qualifications

Required

* Excellent spoken and written English
* Strong customer service and communication skills
* Experience in scheduling, dispatching, project coordination, or operations support
* Strong organizational and multitasking abilities
* Ability to manage multiple active jobs simultaneously
* Strong attention to detail
* High proficiency with AI tools such as ChatGPT
* Strong computer skills
* Experience with Google Workspace
* Ability to work independently and proactively solve problems

Strong Assets

* Experience with Jobber or similar field service software
* Experience coordinating subcontractors or field teams
* Experience working with North American customers
* Construction, handyman, maintenance, or property services experience
* Customer conflict resolution experience

Compensation

Base Salary + Performance Bonus

Compensation will be based on:

* Experience
* Communication skills
* Organizational ability
* AI proficiency
* Operational performance

Expected Compensation Range

* ?50,000 – ?60,000 PHP per month
* Performance-based bonus opportunities

Performance metrics and bonus structure will be discussed during the interview process.
