PLEASE NOTE: This position will begin part-time while training and documentation are completed. Initially, the role may involve a few hours of work per day while we build out systems and workflows together. The goal is for this role to grow into a full-time position by July/August (at the latest). We are looking for someone interested in building a long-term role with increasing responsibility.
JOB DESCRIPTION:
We are a small publishing company that helps families, fundraising groups, and companies create beautiful custom cookbooks. We are based in British Columbia with printers in the US and Canada. Our customers are primarily in the United States, and we pride ourselves on excellent customer service and meticulous attention to detail.
We are looking for a highly-organized Operations Manager who can primarily ‘own’ the day-to-day operations of the business and ensure that every cookbook project runs smoothly from start to finish.
This role requires someone who is comfortable managing multiple high-level responsibilities with little oversight (once training is complete). You will be communicating not only with customers, but also with printers, programmers, designers, and occasionally other contractors who help bring each book to life.
Because many of our clients are deeply invested in the stories behind their cookbooks, building trust and maintaining warm, profesional relationships is an important part of the role.
KEY RESPONSIBILITIES:
Your work may include:
-Managing customer communication and responding to inquiries
-Supporting high-needs clients, including corporate customers
-Tracking book orders and project details in spreadsheets
-Preparing invoices and submitting orders manually when necessary
-Communicating with printing partners regarding orders and shipments
-Liaising with programmers about platform issues or technical improvements
-Coordinating with freelance designers and proofreaders when projects require additionnal support
-Checking print files and order details for accuracy before production
-Managing payment tracking and invoicing records
-Creating and posting social media content to Instagram/Facebook
-Maintaining organized documentation of projects and workflows
-Identifying opportunities to improve operational systems and processes
-During our busiest seasons, you will also coordinate the work of a second support team member who will assist with customer inquiries and administrative tasks
RELATIONSHIP BUILDING:
Many of our cookbook creators have meaningful stories behind their books. Part of this role involves building strong relationships with clients so they feel comfortable sharing their stories with us. These stories sometimes become part of our newsletters or social media.
ATTENTION TO DETAIL:
Attention to detail is absolutely essential in this role. Small errors in order details or print files can create major issues later in the production process. We are looking for someone who takes pride in careful, accurate work.
