Position Summary
The Remote Administrative & Phone Scheduling Assistant provides clerical, scheduling, and organizational support to a licensed insurance agency while working entirely from home. This position is strictly non-licensed, non-sales, and does not involve insurance advice, plan discussions, or enrollment activities.

Key Responsibilities
1. Remote Phone Answering & Appointment Scheduling
Answer inbound calls using a secure, agency-provided phone system
Identify the reason for the call and route it appropriately
Schedule, confirm, reschedule, and cancel appointments for licensed agents

The assistant may not discuss insurance plans, pricing, coverage, benefits, or eligibility.
2. Client Intake & Information Collection (Clerical Only)
Collect and verify basic factual information, including:
Full name and contact details
Date of birth
Household size
Preferred contact method and availability
Enter data accurately into secure CRM systems
Confirm receipt of documents and upload files as instructed
The assistant does not interpret information, explain insurance concepts, or guide decisions.
3. Administrative & Office Support (Remote)
Maintain organized electronic client files
Track case or application status without interpretation
Send pre-approved
Update contact or demographic information upon request
Assist licensed staff with general administrative tasks
4. Remote Compliance, Security & Confidentiality
Access systems only through agency-approved devices or secure connections
Follow HIPAA-aligned data privacy practices
Maintain a private, quiet workspace suitable for client calls
Immediately transfer any insurance-related questions to a licensed agent
Participate in required remote compliance training
Sign confidentiality and compliance acknowledgments
