Position Summary

The Remote Administrative & Phone Scheduling Assistant provides clerical, scheduling, and organizational support to a licensed insurance agency while working entirely from home. This position is strictly non-licensed, non-sales, and does not involve insurance advice, plan discussions, or enrollment activities.

The role is ideal for a senior professional seeking reliable, structured remote work with clearly defined responsibilities, flexible hours, and minimal stress.

Key Responsibilities
1. Remote Phone Answering & Appointment Scheduling

Answer inbound calls using a secure, agency-provided phone system

Identify the reason for the call and route it appropriately

Schedule, confirm, reschedule, and cancel appointments for licensed agents

Leave professional voicemail messages and send appointment reminders

Use agency-approved scripts only when speaking with clients

Compliance Boundary:
The assistant may not discuss insurance plans, pricing, coverage, benefits, or eligibility.

2. Client Intake & Information Collection (Clerical Only)

Collect and verify basic factual information, including:

Full name and contact details

Date of birth

Household size

Preferred contact method and availability

Enter data accurately into secure CRM systems

Confirm receipt of documents and upload files as instructed

The assistant does not interpret information, explain insurance concepts, or guide decisions.

3. Administrative & Office Support (Remote)

Maintain organized electronic client files

Track case or application status without interpretation

Send pre-approved emails, letters, or text reminders

Update contact or demographic information upon request

Assist licensed staff with general administrative tasks

4. Remote Compliance, Security & Confidentiality

Access systems only through agency-approved devices or secure connections

Follow HIPAA-aligned data privacy practices

Maintain a private, quiet workspace suitable for client calls

Immediately transfer any insurance-related questions to a licensed agent

Participate in required remote compliance training

Sign confidentiality and compliance acknowledgments

Prohibited Activities (Strictly Excluded)

This role does not include:

Discussing insurance products, plans, costs, or benefits

Making recommendations or comparisons

Explaining eligibility or coverage

Assisting with plan selection or enrollment decisions

Receiving commissions or incentive-based compensation

Conducting sales or solicitation activities

Any such inquiry must be transferred immediately to a licensed agent.

Required Qualifications

Professional and courteous phone manner

Strong attention to detail and reliability

Ability to follow written procedures and scripts exactly

Comfortable using basic technology (computer, email, scheduling software)

Ability to work independently in a remote environment

Secure internet connection and private workspace

Preferred (Not Required)

Prior administrative, receptionist, or call-handling experience

Experience working remotely

Familiarity with professional office environments

No insurance license is required or permitted for this role.
