We are seeking a highly organized and proactive Virtual Assistant to support a growing real estate and investment business serving the Great Lakes Bay Region. Experience with Sierra Interactive CRM is required.
Responsibilities
CRM Management
Manage and maintain Sierra Interactive CRM.
Send follow-up
Update contact records, notes, tasks, and pipeline stages.
Create automated follow-up campaigns and maintain database accuracy.
Listing Management
Input new listings into MLS and other required systems.
Coordinate listing paperwork and ensure compliance requirements are met.
Monitor listing activity and provide seller updates via text and
Send showing feedback summaries and market updates to clients.
Track listing milestones and assist with price changes, status updates, and marketing coordination.
Transaction Coordination
Open files and coordinate transactions from contract to close.
Order title work and communicate with title companies.
Follow up with lenders, title companies, inspectors, appraisers, attorneys, and other parties involved in the transaction.
Monitor financing, appraisal, inspection, and closing milestones.
Track contract deadlines and ensure all parties are meeting target dates.
Coordinate signatures and required documentation.
Keep buyers and sellers informed through
Investor Support
Assist with investor lead follow-up through Sierra Interactive.
Maintain databases of investors, sellers, and prospective clients.
Track off-market opportunities and investment leads.
Assist with property research and gathering information for potential acquisitions.
Support ongoing rental property, fix-and-flip, and investment activities as needed.
Administrative Support
Maintain transaction files and digital records.
Manage calendars, reminders, and task lists.
Create and organize spreadsheets, reports, and documents.
Assist with special projects and business operations.
Qualifications
Experience in real estate administration, transaction coordination, or virtual assistance.
Familiarity with Sierra Interactive CRM preferred.
Strong written communication skills.
Excellent organization and attention to detail.
Ability to manage multiple transactions and deadlines simultaneously.
Proficiency with Google Workspace, Microsoft Office, and real estate software platforms.
Ability to work independently, prioritize tasks, and proactively solve problems.
Must be available during Eastern Time business hours and able to respond promptly to urgent transaction-related needs.

Bonus Qualifications
Experience with MLS systems and real estate transaction management platforms.
Experience working with real estate investors.
Familiarity with seller-financed transactions, rental properties, BRRRR projects, and fix-and-flip investments.
Knowledge of Michigan real estate transactions and timelines.
