JOB OVERVIEW

We are seeking a highly organized and detail-oriented Real Estate Virtual Assistant & Transaction Coordinator to support our growing real estate team. This role is responsible for managing administrative tasks, coordinating transactions from contract to closing, and assisting with client communication to ensure a seamless experience.

The ideal candidate is proactive, tech-savvy, and comfortable working in a fast-paced real estate environment.

Key Responsibilities
Transaction Coordination

Manage transactions from contract to closing
Coordinate with title companies, lenders, attorneys, inspectors, and clients
Track contract deadlines and contingencies
Ensure all documents are properly completed and signed
Maintain compliance with brokerage and state requirements
Prepare closing files and confirm final details
Administrative Support

Manage CRM systems (Follow Up Boss, Wise Agent, or similar)
Update and maintain client records and transaction files
Upload documents and ensure proper file organization
Prepare listing and buyer paperwork
Assist with MLS listing input when needed
Client & Lead Support

Follow up with leads via phone, text, and email
Schedule appointments and property showings
Provide transaction updates to clients
Maintain consistent communication with buyers and sellers
Marketing Support (Optional but Preferred)

Assist with listing marketing
Prepare social media posts and email campaigns
Coordinate listing photos, staging, and marketing materials
Qualifications
Previous experience in real estate administration or transaction coordination preferred
Familiar with MLS, DocuSign, Dotloop, Skyslope, or similar platforms
Experience with CRM systems
Excellent written and verbal communication
Strong organizational and time management skills
Ability to manage multiple transactions simultaneously
High attention to detail
Preferred Skills
Experience with Follow Up Boss, Wise Agent, or similar CRM
Knowledge of Georgia real estate contracts and timelines
Basic marketing or social media skills
Experience working remotely with real estate teams
Compensation
Hourly rate or flat rate (negotiable)
