JOB OVERVIEW

About Us:
AAREM is a growing real estate media company serving professional real estate agents with photography, drone media, floor plans, virtual tours, and marketing content.

We are looking for detail-oriented team members to join our operations department as Real Estate Media Operations Coordinators.

This is a long-term position with growth opportunities for the right candidates. As our company grows, we anticipate opportunities for high-performing team members who demonstrate strong organization, reliability, and communication skills.

Compensation:
Starting Pay: $600 USD per month
Full-Time (40 hours per week)
Long-term position

Schedule:
- Tuesday-Saturday
- 1:00 PM – 9:00 PM Philippines Time

Our production workflow is based on next-day processing of photographer submissions. As a result, this position operates Tuesday-Saturday rather than a traditional Monday-Friday schedule.

Sunday and Monday are regularly scheduled days off.

What You'll Be Doing:
This role is responsible for managing the flow of media from photographers through production, quality control, and final client delivery.

Media Intake & Organization
- Monitor company email inboxes during work hours
- Review photographer media submissions
- Download and organize RAW media files according to company SOPs
- Move media into company storage systems
- Organize files by photographer, property address, and site ID
- Document and include photographer notes where required
- Track expected photographer submissions and follow up when needed

Production Coordination
- Submit media through company production workflows
- Monitor project status and turnaround times
- Coordinate with editing partners and vendors as needed
- Ensure projects remain on schedule
- Escalate issues requiring leadership review

Quality Control
- Verify all required deliverables have been completed
- Confirm media meets company standards
- Verify floor plans and supporting assets have been received
- Verify virtual tour links and other required deliverables are included
- Create Approximate Property Line images using company-provided tools
- Identify missing media or incomplete deliverables
- Notify leadership of issues requiring attention

Delivery Coordination
- Prepare completed projects for delivery
- Verify project completion within company systems
- Schedule client deliveries according to company standards
- Ensure projects are documented and properly closed out

Administrative Support
During slower production periods, additional responsibilities may include:
- Monitoring booking inquiries
- Responding to customer emails
- Assisting with training new team members
- Marketing support projects
- Operational and administrative support tasks
- Other projects as assigned

Requirements:
- Exceptional attention to detail
- Professional written English
- Strong organizational skills
- Reliable internet connection
- Modern computer capable of handling large media files
- Ability to follow detailed SOPs and established processes
- Ability to work independently with minimal supervision
- Strong problem-solving skills
- Excellent follow-up and communication habits
- Commitment to reliability and consistency

Preferred
- Previous Virtual Assistant experience
- Experience with Dropbox, Google Workspace, Discord, or Signal
- Experience working in operations, project coordination, quality control, or administrative support
- Experience with real estate media, photography, or creative production workflows
- Dual-monitor workstation
- Internet speed of 100 Mbps or higher

Training:
All training will be provided.

New hires will complete a two-week paid training and probationary period that includes:

- Shadowing existing workflows
- Learning company SOPs
- Hands-on practice with supervision
- Gradual transition into independent project management
- Equipment Requirements
