JOB OVERVIEW

We are seeking a highly organized, detail-oriented, and proactive Real Estate Admin & Transaction Coordinator to support a dynamic real estate team. The ideal candidate will possess a strong administrative background, a solid understanding of real estate operations, and excellent communication skills. This role requires a self-starter who can manage multiple tasks efficiently, handle confidential information, and contribute to the smooth running of the business.

Key Responsibilities
Administrative Support:
Manage schedules, appointments, and calendar events for agents.
Organize and maintain client files and databases.
Prepare and send out contracts, agreements, and other documentation.

Client Communication:
Respond to client inquiries via phone, email, and chat.
Assist in coordinating showings, open houses, and client meetings.
Follow up with clients post-showing or post-transaction.

Marketing Assistance:
Help create and distribute marketing materials (flyers, brochures, social media posts).
Manage social media accounts and online listings.
Conduct market research to identify trends and potential leads.

Transaction Coordination:
Manage real estate transactions from contract to closing
Coordinate with clients, agents, lenders, and vendors
Oversee MLS listings, CRM management, and property marketing
Prepare contracts, disclosures, and necessary documents
Schedule appointments, follow-ups, and client communications
Ensure compliance with real estate regulations
Qualifications
Prior experience in real estate admin, transaction coordination, or similar roles
Strong knowledge of MLS, CRM tools, and real estate platforms
Excellent verbal and written communication skills.
Strong attention to detail and organizational skills
