ABOUT PROCOOK
Procook is a Queensland, Australian-based supplier of commercial kitchen equipment, hospitality supplies, and project solutions for cafes, restaurants, healthcare facilities, aged care providers, schools, and commercial foodservice operations throughout Australia.
We are seeking a detail-oriented and highly organised Quoting & Sales Support Coordinator to join our growing team on a part-time basis (2–3 days per week).
This role is ideal for someone who enjoys working with data, pricing, quotations, spreadsheets, and business systems while supporting a fast-paced commercial sales environment.

ABOUT THE ROLE
Your primary responsibility will be assisting our Australian sales team with preparing professional quotations for commercial kitchen projects.
The role involves reviewing project opportunities identified by our Australian team, researching equipment requirements, building pricing schedules, maintaining product information, and preparing formal client quotations.
You will also support our internal systems by maintaining inventory records and business templates within our quoting and sales platforms.

KEY RESPONSIBILITIES:

***Commercial Quotation Preparation***
- Review project opportunities assigned by the Procook sales team
- Work from project documentation, equipment schedules, and instructions provided
- Populate Procook quotation spreadsheets with:
- Equipment descriptions
- Supplier information
- Brand names
- Model numbers
- Product dimensions
- Quantities
- Buy pricing
- Sell pricing
- Verify product information and specifications
- Maintain quotation accuracy and consistency
- Prepare professional customer quotations using PandaDoc
- Ensure all quotations meet Procook presentation standards and guidelines

***Sales Support Administration***
- Update supplier pricing information
- Assist with maintaining equipment databases
- Create and maintain standard quotation templates
- Organise project documentation and supporting files
- Assist with quote revisions and updates

***Zoho Administration***
- Product uploads into Zoho Inventory
- Inventory and item master data maintenance
- Customer pricing updates
- Creation and maintenance of business templates, such as: Quotes / Sales Orders / Purchase Orders / Invoices / Service Estimate Templates
- Data quality reviews and audits

***General Administrative Support***
- Spreadsheet management
- Data entry
- Database maintenance
- Process documentation
- Continuous improvement recommendations

WORKING HOURS
Part-time (long-term opportunity to review going full-time for the right candidate)
Approximately 16–24 hours per week

ESSENTIAL REQUIREMENTS
Advanced Microsoft Excel skills
Strong attention to detail
Excellent written English
Ability to follow detailed processes
Strong organisational skills
Ability to manage multiple projects simultaneously
Reliable internet connection
Experience working remotely

CRM systems
Quotation preparation
Estimating or pricing administration
Construction, hospitality, manufacturing, or commercial equipment industries
Inventory management systems
PandaDoc or similar quotation software
Zoho applications
Shopify or eCommerce platforms
