QuickBooks Expert | Business Operations, Inventory & Growth Manager (Full-Time, US EST Hours)

"This position is approximately 70% operations, bookkeeping, inventory, and reporting, and 30% marketing and growth initiatives."

We are seeking a highly organized, detail-oriented, and growth-focused Business Operations Manager to become a key member of our leadership team.

This is not a traditional virtual assistant position. We are looking for someone who can take ownership of multiple areas of our business, including operations, bookkeeping, inventory management, production workflow, marketing initiatives, and strategic growth projects.

The ideal candidate will think strategically, solve problems proactively, and help drive company growth while maintaining exceptional attention to detail.

This is a full-time, long-term position working during US Eastern Standard Time (EST) business hours.

Primary Responsibilities

Operations Management

* Ensure all sales and purchase transactions are entered accurately into company systems
* Maintain data integrity across all platforms
* Monitor workflows and identify opportunities for improved efficiency
* Develop and implement better processes and procedures
* Assist ownership in managing day-to-day business operations
* Maintain accountability across projects and operational initiatives

Inventory & Production Management

* Oversee inventory tracking and inventory accuracy
* Monitor stock levels and purchasing requirements
* Manage production workflows and project timelines
* Create reports and forecasts to support decision-making
* Coordinate with vendors and suppliers when needed
* Identify bottlenecks and recommend process improvements

QuickBooks & Financial Management

* Maintain accurate bookkeeping records
* Perform monthly bank reconciliations
* Manage accounts payable and accounts receivable
* Generate financial reports and management reports
* Analyze business performance and identify trends
* Ensure accurate financial data for decision-making
* Assist ownership in understanding key financial metrics

Excel & Data Analysis

* Create and maintain advanced spreadsheets
* Analyze operational, inventory, and financial data
* Develop reports, dashboards, and tracking systems
* Use Excel to improve reporting accuracy and business efficiency
* Build systems that help management make better business decisions

Social Media & Marketing

* Create engaging content for social media platforms
* Develop content calendars and posting schedules
* Monitor social media engagement and performance
* Assist with marketing campaigns and brand growth initiatives
* Generate creative ideas to increase visibility, customer engagement, and sales
* Analyze marketing performance and recommend improvements

Business Growth & Special Projects

* Assist with larger company initiatives and strategic projects
* Conduct research and present recommendations
* Identify opportunities to improve operations and profitability
* Contribute creative ideas that support company growth
* Take ownership of projects from concept through completion
* Help leadership execute growth-focused initiatives

Required Qualifications

* Expert-level QuickBooks experience
* Extensive experience performing bank reconciliations
* Strong understanding of bookkeeping, accounting principles, and financial reporting
* Advanced Excel skills (formulas, pivot tables, VLOOKUP/XLOOKUP, reporting, analysis, and spreadsheet management)
* Experience with inventory management systems
* Experience creating social media content and managing business social media accounts
* Excellent written and verbal English communication skills
* Strong analytical and problem-solving abilities
* Ability to work independently with minimal supervision
* Exceptional attention to detail
* Strong organizational and project management skills
* Creative thinker with a proactive mindset
