Position Summary
The Proposal Writer will be responsible for developing, writing, and coordinating high-quality, compliant proposals in response to federal, state, and local government solicitations (RFQs, RFPs, IFBs, Sources Sought, etc.). This individual must ensure proposals are compliant with solicitation requirements, submitted ahead of deadlines, and aligned with the company’s business strategy.
Key Responsibilities
Review and analyze solicitation documents to identify key requirements, deliverables, and evaluation criteria.
Draft and edit proposal content including executive summaries, technical approaches, management plans, pricing narratives, and past performance sections.
Ensure all proposals are 100% compliant with the solicitation instructions, FAR/VAAR clauses, and formatting guidelines.
Collaborate with internal teams (Project Managers, Compliance Officer, Operations, etc.) to gather data and develop winning strategies.
Maintain a proposal calendar and coordinate tasks to ensure early and on-time submissions.
Conduct quality reviews for consistency, clarity, and accuracy before final submission.
Track proposal progress in the company’s systems and update management on upcoming deadlines.
Assist in creating proposal templates, style guides, and compliance checklists for continuous improvement.
Research and incorporate relevant company past performance, capabilities, and differentiators into proposals.
Qualifications
Preferred:
Bachelor’s degree in English, Communications, Business, or related field (or equivalent experience).
2+ years of experience writing or managing proposals for government contracts (federal, state, or local).
Strong understanding of FAR, VAAR, and solicitation compliance requirements.
Exceptional writing, editing, and organizational skills.
Ability to manage multiple deadlines simultaneously.
Proficiency with Microsoft Word, Excel, and Adobe PDF tools.
Experience with SAM.gov solicitations and working knowledge of government procurement processes.
Experience with proposal tracking tools or project management software.
Prior experience supporting small business federal contractors.
