The Property Management VA will provide day-to-day operational and administrative support for property management accounts. The role is designed for candidates with solid property management experience who can support leasing coordination, tenant and owner communication, maintenance follow-up, rent monitoring, documentation, and system updates while working within defined SOPs and compliance boundaries.
Key Responsibilities:
Support daily property management operations for assigned accounts or portfolios
Monitor and respond to tenant, owner, and vendor communications using approved workflows and scripts
Coordinate maintenance requests, vendor scheduling, follow-ups, and status updates
Track unpaid rent, payment follow-ups, rent reminders, and escalation items
Assist with leasing support tasks such as inquiry handling, showing coordination, application support, tenant screening coordination, and lease preparation support
Maintain accurate records, notes, statuses, and documentation in property management systems and CRM platforms
Assist in preparing owner updates, internal reports, and operational summaries
Monitor task queues, open tickets, renewals, vacancies, and pending actions to ensure timely follow-up
Follow client-specific SOPs, SLAs, escalation processes, and internal compliance requirements
Escalate legal, financial, or decision-based concerns to the Property Manager or client as required
What We're Looking For:
2–3+ years in property management, leasing, or real estate support
Strong English communication, organization, and attention to detail
Experience with property management software (AppFolio, Buildium, etc.)
Comfortable working remotely and following structured workflows
Professional handling of sensitive tenant, owner, and vendor matters
Nice-to-Haves:
Experience with short-term rentals, tenant retention, or U.S.-based clients
Familiarity with reporting, KPIs, and portfolio administration
Tools You'll Use: AppFolio, Buildium, Rent Manager, HubSpot, ClickUp, Slack, Zoom, Google Workspace, Microsoft Office
Work Schedule: Flexible hours; occasional overtime or weekend support may be needed
