Project Coordinator

Job Type: Full-Time
Work Hours: Monday to Friday, 10:00 AM to 6:30 PM PST, with a 30-minute break
Salary: $1200 per month

Job Overview:
We are seeking a highly organized and detail-oriented Project Coordinator to support our project management and construction operations teams. This role will be responsible for coordinating project documentation, managing communications, tracking project deliverables, and assisting with administrative and operational tasks throughout the project lifecycle. The ideal candidate is a proactive multitasker with strong communication skills, experience in construction or project coordination environments, and the ability to manage multiple priorities while meeting deadlines.

Key Responsibilities:
* Assist in the receipt of incoming information and provide reasonable responses and follow-up in the absence of project managers, within the scope of assigned responsibilities
* Assist in the preparation of job kits, meeting minutes, and miscellaneous correspondence for project managers and superintendents (as directed)
* Request, accumulate, and prepare subcontractor bids, proposals, and change orders for addendums or bulletins
* Draft correspondence as directed by project managers, including dunning letters, punch lists, and RFIs
Process, log, and distribute submittals
* Follow up on deliveries and outstanding information
* Transmit plans and general information to appropriate parties
* Maintain strong communication with subcontractors, clients, architects, and other stakeholders
* Coordinate with and support superintendents and project managers as needed
* Manage correspondence files, organize closed job files, and coordinate closeout packages with the Accounting Clerk
* Answer phones during the receptionist's lunch break

Qualifications:
* Civil Engineering Degree is required
* Proven experience in project coordination, construction administration, or a related role
* Ability to communicate in a positive and professional manner with building managers, leasing brokers, architects, subcontractors, clients, and internal tea ---------- mbers
* Strong organizational and time management skills with the ability to multitask and meet deadlines
* Familiarity with construction processes, project documentation, and construction plans
* Experience preparing and managing project-related correspondence, submittals, bids, proposals, and change orders
* Proficiency in Microsoft Excel, Word, and Outlook
* Experience using Procore Project Management Software
* Strong attention to detail and follow-through
* Ability to work independently while supporting multiple stakeholders
* Professional demeanor and customer service mindset
