Project Coordinator

What We Offer:
Position: Full-time
Work Setup: Permanent remote – work from anywhere in the world!
Shift: 7AM - 4PM (MNL time) – Start your day with energy!

Salary: PHP 35,000 - PHP 45,000 depending on experience + Bonuses

1. Scheduling & Job Programming
Book jobs in line with labour availability, site readiness, and builder timelines
Coordinate start dates, access times, and sequencing of works
Adjust schedules proactively when delays or changes occur
Ensure supervisors and trades are clear on where they are going and when

2. Liaison & Communication
Liaise daily with Site Supervisors to confirm job status and site readiness
Communicate with builders regarding timeframes, progress, access, and changes
Act as a central communication point between estimating, supervisors, and trades
Keep the client's team informed of schedule changes and priorities

3. Project Handover & Readiness
Receive project handovers from estimating and ensure scope clarity
Confirm all information, drawings, and site requirements are understood
Ensure materials, labour, and documentation are ready before site start

4. Project Tracking & Quality Oversight
Monitor live job progress against the programme
Identify risks, delays, or gaps early and escalate where required
Support supervisors to resolve issues before they impact the programme or cost
Ensure work aligns with company quality and compliance expectations

5. Financial Tracking & WIP Support
Track labour allocation and job progress for accurate WIP reporting
Assist with progress claims and milestone invoicing
Flag discrepancies, delays, or risks impacting invoicing or cash flow

6. Administration & Documentation
Maintain up-to-date project records and job information
Ensure variations, approvals, and changes are captured and communicated
Support internal reporting to the CEO, Director and leadership team

QUALIFICATIONS:
- Minimum 2–3 years of experience in construction scheduling, project coordination, operations administration, or a similar role within the construction industry
- Strong understanding of construction workflows, site sequencing, labour coordination, and builder requirements
- Ability to manage multiple projects, shifting priorities, and tight deadlines in a fast-paced environment
- Excellent communication and stakeholder management skills with the ability to liaise confidently with builders, supervisors, trades, and internal teams
- High attention to detail with strong organisational and problem-solving abilities
- Experience coordinating trades, materials, and site readiness to ensure smooth project delivery
- Ability to proactively identify scheduling conflicts, delays, and project risks and implement solutions quickly
- Competent in project tracking, reporting, and maintaining accurate project documentation
- Experience supporting WIP tracking, progress claims, invoicing, or financial project reporting is highly regarded
- Strong computer literacy, including experience with construction management systems, scheduling platforms, Microsoft Office, and/or project management software
- Ability to work collaboratively within a team environment while also managing responsibilities independently
- Knowledge of construction compliance, quality expectations, and site coordination processes preferred
- Prior experience working with builders, subcontractors, or trade-based businesses highly regarded
