About Us
We are a growing life insurance agency based in the United States. We are looking for a reliable, detail-oriented Policy Admin VA to become a core part of our back office team.
About the Role
You will be the engine that keeps our policy operations running smoothly. This is not a one-time project — we are looking for someone who wants to grow with us long term. You will work directly with the agency owner and be responsible for keeping our clients, carriers, and systems in sync every single day.
Your Daily Responsibilities
Track new business applications from submission through issuance and payment
Check carrier portals daily for updates, pending requirements, and policy statuses
Make Day 3 and Day 14 follow-up calls to clients with status updates
Work past-due and lapsing policies — call clients and document outcomes
Coordinate with carriers to resolve policy-related concerns
Update and maintain client records in Go High Level CRM
Log and track cases in
Register and maintain agency phone numbers across spam databases
Submit a daily end-of-day report to the agency owner
You Are the Right Fit If You:
Insurance industry experience is required — life insurance, health insurance, or financial services back-office support
Are comfortable making calls to US-based clients and carriers in English
Take ownership of your work without needing to be chased
Communicate proactively — you flag issues before they become problems
Are detail-oriented and accurate with records and data
Can work independently with documented SOPs
Tools You Will Use
Go High Level CRM
Carrier portals (varies by carrier)
Google Workspace
Zoom — required for tea
WhatsApp — primary communication tool
VPN — required, must have prior to start date
Schedule & Compensation
Part-time — 4 hours per day, Monday through Friday
Hours are flexible and will be discussed during the hiring process — must have availability during US business hours for client and carrier calls
Pay: $5–$7 per hour depending on experience
