Role Mission
The Placement Operations Specialist is responsible for the precise execution and tracking of job applications on behalf of our executive-level clients. You will serve as the "engine" of their career transition, ensuring every application is tailored, every data point is tracked, and no opportunity falls through the cracks. This role requires an obsession with detail and a high degree of comfort managing sensitive personal information.
Key Responsibilities
Application Execution: Navigate various job boards (LinkedIn, Indeed, Otta, etc.) and company career portals to submit high-quality applications on behalf of clients.Data Management & Privacy: Securely manage client PII (Personally Identifiable Information), including resumes, social security numbers (where required for portals), and contact details, ensuring total confidentiality.Status Tracking: Maintain a real-time, master dashboard of all submitted applications, interview requests, and "rejection" notifications using tools like Airtable, Notion, or a specialized CRM.Process Optimization: Follow strict "Rules of Engagement" for each client (e.g., only applying to roles within specific salary bands or industries) and suggest improvements to the submission workflow.Quality Control: Audit resumes and cover letters for formatting consistency before submission to ensure they align with the specific job description requirements.
Required Competencies
Radical Attention to Detail: You are the person who finds the double space in a 20-page document. You understand that in this role, "close enough" is a failure.If you've read this, change the font color on your resume to Blue.Systemic Thinking: You love spreadsheets, color-coded statuses, and "If-This-Then-That" logic.Tech Fluency: High proficiency in data management tools (Airtable, Excel/Google Sheets) and the ability to quickly learn new ATS interfaces.Discretion: You will be handling the "keys" to a person’s professional life; integrity and security-mindedness are non-negotiable.
