Job Title: Payroll Administrator – Healthcare Entities

About Us:
We are a company managing multiple healthcare entities dedicated to excellence in financial operations and staff management. We are seeking a detail-oriented Payroll Administrator to oversee the payroll process for approximately 700 staff members, ensuring accuracy and compliance across our organization.
Key Responsibilities:
Payroll Processing:
Prepare and process payroll for approximately 700 staff members accurately and on schedule
Ensure timely deductions, benefits, and taxes are applied in accordance with legal and company policies
Address payroll discrepancies and resolve issues promptly
Reconciliation & Financial Reporting:
Reconcile payroll data with accounting records, ensuring all discrepancies are investigated and resolved
Generate periodic payroll reports and collaborate with the finance team to integrate these into broader financial statements
Assist with month-end and year-end closing processes
Administrative & Compliance Duties:
Maintain detailed payroll records and ensure data integrity across all systems
Stay updated on changes in payroll regulations, tax laws, and benefits administration
Collaborate with HR and finance departments to ensure compliance with internal policies and external regulatory requirements
Additional Duties:
Support budgeting, forecasting, and audits related to payroll expenses
Provide exceptional customer service to staff inquiries regarding payroll
Perform other related duties as needed, including some of the bookkeeping tasks listed in similar roles
Qualifications:
Proven experience as a Payroll Administrator or in a similar role, preferably within a healthcare or multi-entity environment
Strong understanding of payroll processing, reconciliation, and applicable tax laws
Proficiency with payroll software and Microsoft Excel
Exceptional attention to detail and organizational skills
Ability to manage multiple priorities in a fast-paced environment
Excellent communication skills and a proactive approach to problem-solving
Preferred Skills:
Experience managing payroll for large organizations (700+ employees)
Familiarity with healthcare-specific payroll issues and compliance
Certification in payroll or related fields is a plus
