About the Role
We are looking for an experienced and highly capable Xero Expert to join our team on a part-time basis. This role is ideal for someone who lives and breathes Xero, enjoys solving problems, and takes pride in maintaining accurate financial records.
You will be responsible for managing the day-to-day bookkeeping and finance administration functions across our New Zealand and Australian businesses, ensuring financial data is accurate, up to date, and reliable.
Key Responsibilities
Xero Administration
* Manage all day-to-day bookkeeping functions within Xero.
* Reconcile bank accounts, credit cards, and payment platforms.
* Process accounts payable and accounts receivable.
* Manage customer and supplier invoices, credit notes, and refunds.
* Maintain accurate financial records and ensure data integrity.
* Investigate and resolve reconciliation discrepancies.
E-Commerce & Payment Reconciliation
* Reconcile transactions from Shopify and other payment platforms.
* Ensure accurate matching of sales, payments, fees, and settlements.
* Assist with inventory and sales reporting where required.
Payroll & Compliance
* Process payroll accurately and on time.
* Assist with GST preparation and filing.
* Support year-end accounting requirements and external accountants.
* Ensure compliance with New Zealand and Australian financial obligations.
Financial Reporting
* Prepare monthly management reports.
* Generate and analyse Profit & Loss, Balance Sheet, and Cash Flow reports.
* Assist with budgeting, forecasting, and financial analysis.
* Provide insights and recommendations based on financial data.
* Managing financial dashboard
Cross-Business Financial Management
* Manage and reconcile financial records across both New Zealand and Australian Xero organisations.
* Ensure consistency of processes and reporting across both entities.
* Support financial decision-making through accurate and timely reporting.
About You
You are a highly organised finance professional with strong technical Xero knowledge and excellent attention to detail. You enjoy identifying issues, finding solutions, and improving processes.
Essential Skills & Experience
* Minimum 3–5 years' hands-on experience using Xero in a bookkeeping or finance role.
* Advanced knowledge of the Xero platform and its reporting capabilities.
* Strong experience with bank reconciliations, accounts payable, accounts receivable, payroll, and GST.
* Experience reconciling e-commerce platforms and payment gateways, including Shopify.
* Advanced Excel and/or Google Sheets skills.
* Exceptional attention to detail and accuracy.
* Strong analytical and problem-solving abilities.
* Excellent written and verbal communication skills.
* Ability to work independently and manage competing priorities.
Desirable
* Experience working across multiple entities or countries.
* Experience in inventory-based or e-commerce businesses.
* Knowledge of Australian accounting and GST requirements.
