Part-Time Operations & Finance Admin Coordinator

Remote | Philippines-based | 10-15 hours/week to start
Required availability: 9:00 AM–1:00 PM EST, Monday–Friday

About the Role

We’re looking for a detail-oriented, trustworthy, and proactive Operations & Finance Admin Coordinator to help keep the backend of our business organized across finance, people operations, payroll, contractor paperwork, and general admin.

This is a part-time remote role for someone based in the Philippines who is comfortable supporting a U.S.-based ecommerce company. The workload is currently light, but we need someone reliable who can take ownership of important recurring admin tasks and help keep everything clean, accurate, and organized.

We use Finaloop for the heavier bookkeeping/accounting work, so this role is not a full bookkeeping position. However, you should be comfortable with light finance admin, expense categorization, payroll support, and handling sensitive documents.

Responsibilities

Finance Admin & Light Bookkeeping

* Categorize expenses and flag anything unclear
* Upload, organize, and maintain receipts, invoices, and finance documents
* Track creator, contractor, vendor, and team payments
* Help prepare clean records for our bookkeeping/accounting partners
* Coordinate with Finaloop, bookkeepers, or accountants as needed
* Maintain finance trackers and keep records updated

Payroll & People Operations Admin

* Help process payroll through our payroll platform
* Add and remove employees or contractors from relevant systems
* Support onboarding and offboarding checklists
* Collect and organize W-9s, W-4s, direct deposit forms, and contractor documents
* Maintain organized employee, contractor, and vendor records
* Ensure sensitive information is handled carefully and confidentially

Creator, Contractor & Vendor Admin

* Collect W-9s and other required documents before payments are processed
* Track payment status for creators, contractors, and vendors
* Follow up on missing information or documents
* Keep creator/vendor records organized and easy to access

General Operations Admin

* Maintain internal trackers, KPIs, folders, and SOPs
* Help organize Google Drive, Dropbox, spreadsheets, and internal documents
* Support light admin tasks across company tools and systems
* Help create and improve repeatable admin processes

Requirements

* Based in the Philippines
* Available Monday–Friday between **9:00 AM–1:00 PM EST**
* Strong attention to detail and organization
* Experience with admin, operations, finance admin, bookkeeping support, payroll, or HR admin
* Comfortable working with spreadsheets and online tools
* Able to handle confidential documents responsibly
* Strong written English communication
* Proactive and comfortable asking clarifying questions
* Reliable, responsive, and able to meet recurring deadlines
* Comfortable working independently in a remote environment

Nice to Have

* Experience supporting a U.S.-based business
* Experience with ecommerce, Shopify, or small business operations
* Experience with payroll platforms
* Experience with bookkeeping tools or finance admin workflows
* Experience organizing contractor, vendor, or creator payment records
* Familiarity with tools like Google Workspace, Slack, Dropbox, Finaloop, Gusto, or similar platforms

Hours & Schedule

This is a part-time role starting at approximately **10-15 hours per week**, with the potential to grow over time as the business needs expand.

You must be available during the window of **9:00 AM–1:00 PM EST**, Monday–Friday, for communication, payroll/admin tasks, and urgent follow-ups.

Who You Are

You are organized, trustworthy, detail-oriented, and reliable. You enjoy making messy admin systems clean and easy to manage. You don’t need to be a full accountant or HR manager, but you should be comfortable supporting finance, payroll, people operations, and general business admin.

You’re the type of person who notices missing details, follows up without being reminded, and keeps sensitive information organized and secure.
