JOB OVERVIEW


???? PRIMARY PURPOSE
Handle customer communication, booking management, and administrative tasks so the business runs smoothly.

? CORE RESPONSIBILITIES
Must be able to handle the following:

1?? Booking & Scheduling Management
Monitor website bookings daily

Confirm appointments with customers

Verify:

Service type

Home size

Add-ons

Date & time

Deposit paid

Update and manage booking calendar

Flag conflicts or unrealistic timeframes

2?? Customer Communication (Text & Email)
Respond to:

Booking confirmations

Customer questions

Reschedule requests

Use pre-written scripts (you provide them)

Maintain professional, friendly tone

Route urgent issues to you only when necessary

3?? Payment & Deposit Verification
Confirm deposits are received

Track:

Outstanding balances

Additional time charges

Add-on upgrades

Notify customers of remaining balance due (before or day-of service)

4?? CRM / Tracking
Maintain a simple tracker (Google Sheets or CRM):

Client name

Service type

Frequency

Revenue

Notes (pets, access instructions, issues)

Keep records clean and updated daily

5?? Review & Follow-Up Requests
Send post-service follow-up messages

Request Google reviews using provided template

Log reviews received

???? REQUIRED SKILLS & EXPERIENCE
Must have:

Experience as a virtual assistant (1+ year preferred)

Experience with:

Service-based businesses (cleaning preferred)

Online booking systems

Payment tracking

Strong written English

Comfortable with:

Google Workspace (Docs, Sheets, Gmail)

Booking platforms

CRM or spreadsheets

Fast learner and detail-oriented

No cold calling

No sales pitching

No social media posting

No marketing strategy

This role is execution, not creativity.

? AVAILABILITY REQUIREMENTS
10–20 hours per week to start

Must be available during Las Vegas business hours

Same-day response expectations for booking messages


???? TRUST & RELIABILITY
Must sign a basic confidentiality agreement

Comfortable handling customer data

Must follow SOPs exactly
