We are seeking an organized, proactive, and tech-savvy Office Manager to oversee operations, streamline processes, and support our team. This role ensures smooth daily functions, team coordination, and client satisfaction.
Qualifications:
3+ years in office management, customer service, or business operations.
Tech-Savvy – CRM, scheduling tools, G-Suite, and AI automation.
Leadership & Communication – Strong team management, problem-solving, and decision-making skills.
Bilingual (English/Spanish) is a plus.
Key Responsibilities:
Workflow & Communication: Oversee team and client communication.
Office Efficiency: Implement automations & new technology (e.g., ChatGPT).
SOP Management: Build, organize, and improve SOPs.
Phone Quality Control: Monitor client response times & lead conversions.
Accountability: Ensure tea
Hiring & Training: Recruit office staff (CSR, Admin) & provide 30/60/90-day training.
Tool Utilization: Ensure proper use of Slack,
Response Time: Track incoming calls,
Daily Updates: Check EOD reports on tasks, client updates, & communication.
Performance Reviews: Conduct 90-day evaluations & monthly performance bonuses.
Team Oversight: Manage communication between clients, technicians, and remote teams.
Scheduling Efficiency: Optimize truck schedules for irrigation season.
Estimate Follow-ups: Improve job conversion via CSR follow-ups.
Reporting: Provide monthly sales & weekly office updates.
CRM Management: Maintain accurate job tagging, client info, & private notes.
Collections: Oversee CSR outstanding balance collections.
SOP Reviews: Conduct monthly SOP updates & weekly inspections.
Training Playbook: Update roles every 60 days.
Client Issue Resolution: Handle escalations via
Phone Support: Serve as third backup for inbound lead overflow.
CRM Data Integrity: Ensure system remains clean & updated.
Staff Development: Coach, discipline, and terminate employees if needed.
Team Performance: Evaluate responsiveness & reward performance bonuses.
KPIs & Reporting: Establish & track KPIs for new office hires.
Holiday Estimates: Oversee estimate process during Christmas season.
Compensation:
$65,000 PH (90-Day Probation) $70,000 PH after probation
Performance Bonus: Up to $14,000 PH monthly based on KPIs (Eligible after 120 days).
