We’re Hiring: Merchant Processing Specialist (Payment Processing, Merchant Services, Fintech) — REMOTE (VA)
At Coastal Pay, we’re looking for a highly detail-oriented and operationally strong Merchant Processing Specialist to support the day-to-day management of merchant accounts across our processing platforms.
This role is ideal for someone with direct experience in payment processing who understands how transactions move, how accounts are structured, and how to resolve issues quickly and accurately. You’ll play a key role in maintaining the integrity of our merchant portfolio while ensuring a seamless experience for both clients and internal teams.

This role ensures merchants are properly configured, transactions flow correctly, and issues are identified and resolved before they impact the client experience. You will serve as a critical link between onboarding, support, risk, and processing platforms—helping Coastal Pay scale with structure and reliability.

Schedule
100% Remote
Must be available during U.S. business hours (EST or PST overlap required)
Best suited for someone who is highly responsive and comfortable working independently

What You’ll Do
Merchant Account Management & Processing Support
Review and audit merchant applications for completeness and accuracy
Review and audit merchant supporting documentation for completeness, including verifying business information, ownership details, licensing, tax IDs, and banking information
Communicate with sales teams and merchants to collect missing documentation for complete merchant applications and supporting documentation packages
Liaise with internal teams, processing partners, and vendors to resolve application approval obstacles
Ensure applications meet company policies, banking regulations and guidelines
Operational Execution
Coordinate with internal teams (onboarding, support, risk, and sales) to ensure smooth merchant operations
Ensure merchant records are accurate and up to date across CRM and processing systems
Execute time-sensitive requests with a high level of accuracy and urgency
Monitor processing timelines and maintain service-level agreements
Documentation & Systems
Maintain clear, organized documentation of all account changes, issues, and resolutions
Update CRM systems and internal tools (Salesforce, IRIS, Zendesk, Asana, etc.) consistently and accurately
Follow established processes while identifying opportunities to improve operational workflows
Maintain confidentiality of sensitive financial and customer information


What We’re Looking For
1–3+ years of experience in payment processing, merchant services, fintech, or a related operational role
Strong understanding of transaction flow (card and/or ACH), settlements, and merchant account structures
Exceptionally detail-oriented with the ability to manage high volumes of requests without errors
Clear and professional English communication skills (written and verbal)
Highly organized and able to prioritize tasks in a fast-moving environment
Tech-savvy and comfortable navigating multiple systems and dashboards simultaneously
Trustworthy and discreet when handling sensitive financial and merchant data

Core Competencies
2+ Years of payment processing/underwriting experience
2+ Years CRM experience
2+ Years data entry experience
2+ years Excel experience
You are process-driven and thrive in structured, detail-heavy work
You take ownership of tasks and follow them through to completion
You move quickly, but never at the expense of accuracy
You communicate clearly and escalate issues proactively
You remain calm and solution-focused when handling complex or time-sensitive requests
You are reliable, responsive, and consistent in your output

Nice to Have
Experience with processors or platforms such as Stripe, Payrix, Adyen, TSYS, Fiserv, or similar
Familiarity with chargebacks, risk reviews, or fraud monitoring
Experience working with CRM systems like Salesforce, HubSpot, or IRIS
Prior experience supporting U.S.-based clients or teams
