Position: Remote Medical Administrative Assistant / Patient Care Coordinator

Location: Remote (Must be available to work in EST)
Schedule: Part-Time | Monday to Friday | 8:30 AM – 12:00 PM EST
Salary Range: $5.00 – $6.00 per hour (based on experience)
???? Responsibilities:

? Appointment Scheduling and Reminders
Coordinate and schedule patient appointments using Sycle (Beltone’s hearing aid software).
Proactively call and follow up with existing patients to bring them back in for check-ups, fittings, or follow-up care.
Send appointment confirmations and reminders through phone, text, or
? Patient Records Management
Accurately maintain and update patient charts and records within our EHR system.
Organize and secure sensitive information in accordance with HIPAA and privacy standards.
Ensure that patient records are complete and ready for provider review before appointments.
? Claims Processing and Insurance Verification
Verify insurance eligibility and benefits prior to appointments.
Assist in claims processing, billing follow-ups, and resolving discrepancies with insurance providers.
Collaborate with providers to ensure documentation meets billing requirements.
? Handling Patient Inquiries and Correspondence
Answer incoming phone calls and
Provide information regarding services, appointments, and billing in a clear, easy-to-understand manner.
Escalate clinical concerns to the appropriate medical personnel as needed.
? Document Preparation and Organization
Create and format reports, spreadsheets, and presentations as needed by the practice.
Organize digital files, patient documentation, and other practice materials to maintain efficient operations.
Support providers in preparing documents for patient education, internal meetings, and external communication.
? Managing Telehealth Platforms
Set up and manage telehealth appointments using Zoom or Google Meet.
Guide patients through the setup process, ensuring they feel comfortable with the virtual visit format.
Troubleshoot common tech issues to prevent missed appointments.

Sort, prioritize, and respond to incoming
Send newsletters, follow-up communications, and announcements to keep patients engaged and informed.
Maintain a clean and organized communication inbox for the team.
? Billing Support
Assist the billing department with invoice generation, patient account updates, and payment follow-ups.
Address patient billing inquiries in a kind and understanding manner.
Ensure billing records align with appointment and treatment data.
???? Unique Skillset Required:
Outstanding phone presence: You must speak clearly and articulately, with a warm and personable tone that senior, hearing-impaired patients can easily understand.
Patience and empathy: Many of our patients are older and may need more time or repetition—your kindness and patience go a long way.
Attention to detail: You'll be managing sensitive medical and billing information that requires a high level of accuracy.
Multitasking ability: You’ll juggle several systems and conversations at once and must remain focused and organized.
