Job Overview

We are looking for a highly organized and detail-oriented Jewelry Operations Specialist to oversee the custom jewelry order process from initial client qualification to final delivery.

This role is heavily focused on backend operations, production coordination, client communication, and order management within a custom jewelry workflow. You will act as the bridge between clients and the production factory—ensuring smooth coordination, timely updates, accurate order processing, and exceptional customer experience throughout the entire lifecycle of a custom piece.

Experience in fine jewelry, luxury retail, custom manufacturing, logistics, e-commerce operations, or client coordination is highly preferred.

This is a fully remote role ideal for someone who thrives in a fast-paced environment, can manage multiple moving parts simultaneously, and communicates professionally with both clients and production partners.

What You’ll Do

Custom Jewelry Order Management (Primary Focus)

Manage the full custom jewelry workflow from inquiry to final delivery
Collect and organize detailed client specifications including:
Stone type
Carat size
Metal preference
Design references and customization requests
Coordinate directly with factories to request:
CAD designs
Quotations
Production timelines
Present CADs, pricing, and specifications to clients for approval
Manage revision requests and communicate updates between client and factory
Confirm approved orders for production and monitor timelines closely
Track project progress and maintain organized order documentation
Provide weekly production updates and proactive communication to clients
Coordinate shipping and logistics across multiple countries
Ensure smooth final delivery and post-sale follow-up
Backend Operations & Administrative Support

Maintain accurate CRM records, order logs, and tracking systems
Verify invoices, payment confirmations, and shipping details
Coordinate with shipping partners and fulfillment providers
Monitor order statuses and flag delays or production concerns
Assist with returns, resizing requests, repairs, and warranty-related concerns
Support internal reporting and operational tracking
Client Communication & Sales Support

Provide professional support through chat, email, and virtual consultations
Guide clients throughout the custom jewelry creation process
Build strong client relationships through timely and clear communication
Assist clients with product recommendations and customization inquiries
Maintain a luxury-level customer experience throughout the process

What We’re Looking For

1–3 years of experience in any of the following:
Fine jewelry or luxury retail
Custom product coordination
E-commerce operations
Logistics, fulfillment, or production coordination
Client account management or order management
Strong communication and client management skills
High attention to detail and ability to manage multiple projects simultaneously
Experience using CRM systems, spreadsheets, and digital communication tools
Strong organizational and time management abilities
Ability to work independently in a remote environment
Proactive problem-solving mindset with strong follow-through
Comfortable coordinating with international clients and suppliers

Preferred Qualifications

Experience working with custom-made or made-to-order products
Familiarity with CAD approval workflows
Experience handling international shipping and logistics
Background in luxury customer service or high-ticket sales support
