POSITION SUMMARY
The HR Admin Assistant supports day-to-day human resources operations with a strong focus on
employee records management, onboarding and offboarding, compliance, and employee services. This
role ensures accurate and audit-ready HR documentation, administer employment verification and leave
processes, and serves as a first point of contact for Tier-1 employee inquiries. The HR Assistant partners
closely with Talent Acquisition, Payroll, IT, and HR leadership to ensure seamless workforce transitions,
data integrity within HR systems, and timely payroll support. Through consistent process execution,
reporting, and continuous improvement efforts, this role contributes to efficient HR operations and a
positive employee experience.

Essential Functions:
Employee Records & Onboarding / Offboarding
• Maintain accurate employee e-files in accordance with naming conventions, retention schedules,
and audit standards.
• Process employee separations, including sending exit communications, completing system
terminations, and updating access and distribution lists.
• Partner with Talent Acquisition, Payroll, and IT to ensure smooth and timely onboarding and
offboarding handoffs.
Verification, Documentation & Compliance
• Conduct onsite I-9 verifications and reverifications; maintain compliant records and support EVerify when applicable.
• Track Employment Authorization Document (EAD) expirations, communicate deadlines, and
escalate risks prior to lapse.
• Support HR audits and regulatory requests by maintaining audit-ready documentation.
• Administer MFP and NHO surveys, compile results, and share summaries with HR for review
and action.

Employee Services & Case Administration
• Administer Leave of Absence intake and tracking (FMLA, state, and company leaves) in
coordination with Benefits and Payroll, including issuance of required notices.
• Manage unemployment claims by gathering documentation, submitting timely responses, and
maintaining claim records.
• Own HR inbox triage; resolve Tier-1 employee inquiries (policy basics, PTO routing, forms) and
escalate complex matters to HR Business Partners.
• Process live-on-site requests in accordance with policy and document approvals or denials.
• Publish approved employee communications accurately and on schedule.
Reporting, Systems & Continuous Improvement
• Maintain data integrity within the HRIS through routine audits and timely discrepancy resolution.
• Draft and update standard operating procedures and recommend process improvements to
improve accuracy, efficiency, and turnaround times.
HR Administration & Payroll
• Serve as backup support for the TA Assistant role and assist with additional HR administrative
duties as needed.
• Support payroll processing by coordinating timely and accurate data flow related to new hires,
terminations, job changes, leaves of absence, and status updates between HRIS and Payroll.
• Assist with payroll audits by validating employee data (pay rates, deductions, employment status,
and leave coding) and resolving discrepancies prior to payroll submission.

POSITION QUALIFICATIONS
Competencies:
• Quality & Attention to Detail - Ensures accurate employee records, audit-ready documentation,
compliant I-9s, and clean HRIS and payroll data.
• Accountability - Takes ownership of onboarding/offboarding tasks, compliance tracking, case
follow-through, and timely completion of HR and payroll support activities.
• Communication - Effectively manages Tier-1 employee inquiries, coordinates with Payroll, TA,
IT, and HRBPs, and communicates deadlines and requirements clearly.
• Planning & Organization - Manages multiple HR workflows simultaneously, including
employee records, leave administration, audits, surveys, and payroll coordination.
• Safety & Compliance - Supports legal and regulatory requirements such as I-9 verification, EAD
tracking, LOA compliance, unemployment claims, and audit readiness.
Qualifications
Experience
• Minimum: High school diploma or equivalent; 2+ years of HR experience in HR operations or
generalist support.
• Preferred: BA/BS.
• Working knowledge of HRIS (e.g., Paylocity/Workday), document management, and
ticketing/inbox tools.
• Familiarity with I?9, EAD, FMLA/LOA basics, unemployment processes, and records retention.
• Proven discretion with confidential information; excellent organization and follow?through
