Job Description:
We are seeking an exceptionally sharp, systems-minded Finance and Operations professional to partner directly with our US-based Company Secretary. This is not a data-entry or administrative virtual assistant position; it is a high-leverage independent contractor role requiring deep analytical thought, financial strategy alignment, and rigorous project tracking. You will serve as the core engine executing key deliverables for global corporate restructuring, capital initiatives, and enterprise project management.
Key Responsibilities:
* Financial & Capital Operations Support: Assist with complex data tracking and reconciliation related to corporate equity initiatives, shareholder tracking, and capital raises (Rights Issues).
* Corporate Governance & Compliance Coordination: Support the Company Secretary in preparing, tracking, and archiving board resolutions, statutory register updates, and identity verification compliance pipelines.
* Project Architecture & Matrix Management: Maintain, audit, and optimize corporate project tracking via SmartSheet. Ensure milestones across various cross-border workstreams are proactively updated and risks are flagged.
* Enterprise Corporate Memory Initiatives: Execute and maintain digital archiving standardizations, establishing precise naming conventions and hierarchical folder structures to secure the organization's institutional knowledge.
Professional Profile & Credentials Required:
* Education & Certification: Bachelor’s degree in Accounting, Finance, or Business Analytics. Progress toward or completion of CPA or CMA credentials is data-verified to match the mental model required for this position.
* Technical Fluency: Advanced, expert-level competency in spreadsheet modeling (Excel/Google Sheets). Proven experience navigating project management tools (SmartSheet preferred). Comfort utilizing digital execution platforms (e.g., Syngrafii or DocuSign) and AI collaboration tools.
* Mindset & Communication: Exceptional command of written and spoken English. Must possess a meticulous eye for detail with a natural inclination toward rigorous quality control. Proactive, asynchronous communicator who takes absolute ownership of deadlines.
Operational & Infrastructure Requirements:
* Daylight Overlap Schedule: Ability to maintain a consistent 3 to 4-hour live working overlap with the US Central Time Zone (Minneapolis), typically falling between 9:00 PM and 1:00 AM Philippine Time (PHT).
* Infrastructure Guarantee: Must have a proven, resilient home office infrastructure, including documented high-speed fiber internet and functional power/internet backups (e.g., generator, UPS, or secondary ISP data fallback) to ensure uninterrupted operational continuity.
