Financial Operations Expert VA - Accounts Receivable, Accounts Payable, Reconciliation

The Work
We need a financial operations expert, not a data entry person. You will own our accounts receivable, accounts payable, bank reconciliation, and financial reporting. You will build systems using AI tools. You will work independently.

YOU ARE THE RIGHT FIT IF:
• You have 2+ years of bookkeeping or financial VA experience
• You handle AR, AP, and reconciliation — and you are good at it
• You use AI tools every day and can show us exactly how
• You have used helloFrank AI or are ready to learn it fast
• You build dashboards and reports — not just fill in spreadsheets
• You write SOPs and document your workflows without being asked
• You catch errors before anyone tells you to look
• You work independently and do not need daily direction

Your Main Jobs
• Track money coming in (accounts receivable). Follow up on late invoices.
• Track money going out (accounts payable). Flag upcoming due dates.
• Reconcile bank and credit card accounts weekly using AI tools.
• Set up Hellofrank AI and create workflows and SOPs
• Build and maintain financial dashboards
• Generate weekly and monthly financial reports.
• Set up AI-assisted workflows. Document each one in a written SOP.
• Flag financial discrepancies and risks before they grow.

• Detail-focused and catches errors before anyone asks.
• Comfortable working independently.
• Uses AI tools (ChatGPT, Claude) every day.
• Has built financial systems before.
• Writes clear, short English.
• Thinks ahead. Flags problems before they become crises.
• Treats every task as something that can be documented and handed off.

Required Tools and Experience
• Experience with accounting software: QuickBooks, Xero, Wave, or similar.
• Strong skills in Google Sheets or Excel.
• Experience with bank reconciliation and AR/AP.
• Familiar with AI tools like ChatGPT, Claude, or helloFrank.
• Fluent in English (conversational minimum).
