Type: Part-time, fully remote
Hours: Approximately 10 hours per week
Rate: $6 per hour (fixed, not negotiable)
Hours requirement: UK business hours: 9am to 11am GMT/BST (5pm to 7pm Philippine Standard Time) Monday - Friday
Contract: 3-month paid trial, then ongoing

About Stayful

Stayful is a UK-based property management company managing approximately 60 short-stay properties on Airbnb, ---------- , and other channels on behalf of UK property owners. Most of our team is based in the Philippines and we operate fully remotely.

We operate through two legal entities: Stayful Ltd (the main operating company) and Stayful Bookings Ltd (our booking agency). This role covers both.

We need someone who can take full ownership of the financial administration side of the business — day-to-day bookkeeping, client-facing financial records, invoice management, and accounts administration. This is a hands-on role with direct impact on how the business runs.

What This Role Is

This is not a data entry role. You will be responsible for keeping Stayful's financial records accurate, current, and usable. That means owning the Xero accounts across both entities, managing income and expense records, processing invoices, and producing client financial statements on a monthly basis.

Responsibilities

Bookkeeping and Reconciliation

Daily bank reconciliation in Xero across both entities
Matching OTA platform payouts (Airbnb, ---------- ) against the bookings record and bank statement
Keeping all income and expense records accurately categorised and up to date
Identifying and resolving miscategorised transactions, duplicate invoices, and reconciliation errors
Invoice Management

Logging and processing all incoming invoices through Apron and Xero
Verifying every invoice before payment: correct supplier, correct property, correct amount, payment details present, work confirmed by the operations team
Cross-referencing invoices against active contractors — if we no longer work with a supplier or the work was never carried out, flag it rather than processing it
Managing accounts payable and receivable across both entities
Chasing outstanding payments and resolving invoice queries with suppliers
Client Financial Statements

Generating accurate monthly statements for property owners showing income received, management fees deducted, and net amounts due
Quality-checking every statement before it is sent: correct period, correct figures, correct bank details, correct recipient
Ensuring statements are produced on schedule and reconcile against the Xero records
Income, Expense Records and Cash Position

Maintaining the income and expense records in the cashflow sheet (Google Sheets), correctly categorised and kept current
Keeping the Stayful Finance Dashboard accurate so Martyn always has a clear view of cash position across both entities
Flagging discrepancies between the cashflow records and Xero
A short weekly written summary: what has been reconciled, anything flagged, anything outstanding
VAT and Payroll Support

Supporting VAT return preparation for both entities alongside our accountant
Director payroll: two directors, processed monthly, once you are comfortable with the accounts
Who We Are Looking For

Essential

Proven Xero experience at a bookkeeping or accounts assistant level — this is non-negotiable
Experience producing client financial statements or owner statements
Solid understanding of bank reconciliation, accounts payable and receivable, and income/expense categorisation
Experience working with UK VAT or a willingness to learn quickly
Strong attention to detail — the numbers must be right, every time
Comfortable working independently without daily supervision
Available during UK business hours (9am to 5pm GMT/BST) — this is a firm requirement
Desirable

Experience in property management, short-term rentals, or a business that pays out via OTA platforms (Airbnb, ---------- )
Familiarity with Apron or similar invoice management tools
Experience working across multiple legal entities in Xero
Background in a UK-facing finance or bookkeeping role
This Role Is Not Right For You If

You have not used Xero before or have only used it at a basic data entry level
You are not available during UK business hours — there is no flexibility on this
You are not comfortable producing client-facing financial statements and owning their accuracy
You need close supervision or step-by-step instructions to complete your work
