We're currently seeking an Executive and Administrative Assistant to be the right-hand person for our clients who are CEOs and Founders of established businesses.
ROLE MISSION:
As an Executive and Administrative Assistant, you will be the linchpin in our clients' daily operations, enabling them to focus on high-level entrepreneurial and leadership tasks. Your role is crucial in increasing simplicity in daily workflows and enhancing satisfaction both in and outside of work for our high-performing clients.

RESPONSIBILITIES & EXPECTATIONS:
> Travel Arrangements
Plan and book travel itineraries, including flights, accommodations, and transportation
Manage travel expenses and reimbursement
> Personal Tasks
Handle personal errands and tasks for the CEO, such as gift shopping, appointment scheduling, booking restaurants, travels, groceries, and managing personal events
> Calendar management:
Manage the CEO's personal calendar and reminders
Schedule and coordinate meetings, appointments, and events
Use advanced techniques in Google Calendar or Microsoft Outlook to manage time zones and reminders
Optimize scheduling to prevent overlaps and ensure efficient time management

Draft, respond, and manage
Set up automated responses for routine queries

Craft and send effective
Engage in virtual meetings using tools like Zoom or Microsoft Teams
Manage internal communications through platforms like Slack or Microsoft Teams
Manage confidential information and notes
> Workflow Automation
Create automated workflows that connect different apps and services to streamline processes
Set up reminders and alerts for upcoming deadlines and events
> Task Management
Use tools like Asana or Notion to track tasks and deadlines
Prioritize tasks based on urgency and importance
Create and manage to-do lists for the CEO
REQUIRED SKILLS AND EXPERIENCE
> Minimum 2 years of experience as an executive assistant
> Amazing written and spoken English
> Excellent communication skills with clients
> Proficiency in Microsoft and Google Workspace apps
> Experience handling sensitive information and documents in business
> Detail-oriented, responsible, and consistent team player
WORK SCHEDULE:
> Part-time for first 30-60 days: 7am - 10am Central Standard Time + 1 hour in evenings. Monday - Friday
> Full-time after first 30-60 days: Full time shift in Central Standard Time. Exact shift times to be confirmed.
Compensation & Benefits
