About the Client
Our client is a solo founder running a fast-growing fractional operations consultancy in the B2B professional services space. She works hands-on with business clients on operations strategy and delivery — and the business is at a point where she needs to protect her time to keep up with growth.
Role Overview
We are looking for a Virtual Assistant who can own the day-to-day administrative and operational layer of the business. This is not a task-executor role. We need someone who communicates proactively, has real opinions on the tools they use, and can build structure where none currently exists.
Key Details
Part-time remote role
10–15 hours per week
Eastern timezone (This is a graveyard shift for PH applicants)
Key Responsibilities
Inbox & Calendar Management
- Triage Gmail daily and flag items requiring action
- Coordinate scheduling and client touchpoints
- Ensure nothing sits unactioned for more than 24 hours on business days
ClickUp Maintenance (Internal)
- Keep internal project boards accurate and current week over week
- Surface anything at risk of slipping before it becomes a problem
ClickUp Consulting (Client-Facing)
- Consult on one of our client's existing ClickUp workspaces
- Assess how it is currently structured and deliver concrete optimization recommendations based on prior hands-on experience with the platform
Pipedrive Optimization
- Review the current CRM setup and share a clear point of view on improvements
- Help implement changes — real experience required, not surface familiarity
LinkedIn Content Scheduling
- Publish approved copy on schedule and track basic engagement
- Limited scope to start, with room to grow
SOP Documentation
- Document recurring tasks as you learn the work
- Help build internal infrastructure that supports future growth
What Success Looks Like at 90 Days
The founder spends fewer than two hours per week on inbox, scheduling, and task tracking
ClickUp boards are accurate and current, week over week — no deadlines slipping silently
LinkedIn publishes on schedule without the founder touching the logistics
Pipedrive has been assessed and a clear improvement plan is delivered
You communicate proactively — risks are flagged before they become problems
Requirements
Must have atleast 3 years of Executive Assistant experience
MUST HAVE! Hands-on Pipedrive experience — you've built or improved a pipeline and can explain what you changed and why
MUST HAVE! Hands-on ClickUp experience — you can assess a workspace and identify what's working and what isn't
Strong written communication with a professional, polished tone
Proactive and independent — you flag issues before being asked
Comfortable building structure from scratch without needing everything defined upfront
Proficiency in Gmail, Google Suite, and LinkedIn
Background in professional services or consulting is a plus, not required
