Responsibilities of the Executive Operations Assistant:
Your responsibilities include:
Blueprint Creation & Data Management:
- Create and update custom funding blueprints based on client data
- Consolidate information from various sources (credit applications, Slack notes, sales notes, intake forms) into a structured Google Doc
- Perform basic calculations (addition, multiplication) for funding assessments
- Handle data entry tasks, including onboarding, deposit, and offboarding dates, as well as blueprint updates
- Input and organize data in Upgrade to see actual info, pulling details from Slack, Google Docs, and intake forms
- Review credit inquiries (training modules will be provided)
- Manage blueprint adjustments and repetitive updates as needed

Task & Project Management:
- Organize and track tasks froUpgrade to see actual infoetings, Slack communications, and voice memos to ensure timely execution?- Maintain and update Google Docs to support the leadership team’s documentation needs
- Update and organize files
- Create documents on an ad-hoc basis for different teaUpgrade to see actual infombers
- Ensure follow-ups are completed and action items froUpgrade to see actual infoetings are tracked and executed


Email
, Text & Communication Management:
- Filter, organize, and respond to emails, texts, WhatsApp, and Slack messages on behalf of the leadership team?- Develop a system for managing and prioritizing communications to ensure nothing gets missed

Relationship & Calendar Management:
- Manage scheduling, rescheduling, and calendar adjustments for internal and external meetings
-Handle scheduling conflicts and ensure smooth coordination of appointments
-Assist with scheduling and organizing internal teaUpgrade to see actual infoetings and ensuring follow-ups
- Support relationship management, ensuring high-value clients receive prompt and professional attention
- Monitor daily communications (unread/unanswered messages) and flag important follow-ups
- Assist with personal scheduling, such as coordinating special events, anniversaries, and gifts

Operations Support:
- Oversee daily metric-driven End-of-Day (EOD) reports from fulfillment and sales teams
- Identify trends in numbers and flag them for leadership review
- Review and summarize team reports, flagging key points for further analysis
- Conduct low-level operational tasks, such as contacting banks for additional information (dialer provided)
- Assist with ad-hoc operational needs as required

Qualifications

- Bilingual in Spanish (BIG BONUS) – the ability to communicate in Spanish is a plus!?
