Executive Assistant to CEO— Electrical Contractor, USA

Company: Coharbor Electric LLC — Cape Coral / Fort Myers, Florida (USA)
Schedule: Full-time, 40 hrs/week, Monday–Friday, 8:00 AM – 5:00 PM US Eastern Time (you must work USA business hours)
Location: 100% Remote — Philippines-based
Compensation: Depending on experience. Paid via Wise. Long-term, full-time role with room to grow as we double.
Start: As soon as we find the right person.


Who We Are

Coharbor Electric is a veteran-owned, Christian-owned residential and commercial electrical contractor serving Southwest Florida since 2010. We were founded by our CEO, Jacob Anderson — a Major in the U.S. Air Force — and we are a Service-Disabled Veteran-Owned Business. We do service work, panel and service changes, generator and EV-charger installs, new construction, and larger commercial projects including fire stations.

Our mission is simple and we mean it: "To provide high quality electrical work, on time, with integrity. Our purpose is to empower and lift up our employees, customers, partners, and fellow community members." We treat our customers the way we'd treat our own family, we use honest flat-rate pricing with no upsell scripts, and we live by a verse we keep in front of us: "Whatever you do, work heartily, as for the Lord" (Colossians 3:23). We say we're "bringing light to a dark world," and we mean that about more than wiring.

That value — to empower and lift up our employees — is why this role exists. We are a team of about 20, and we intend to double. The thing slowing us down isn't demand; it's that too much runs through one desk. We're hiring a Chief of Staff to change that. Of our team of 20, we do have 5 employees in PH already.

This is not a "send me tasks and I'll do them" job. This is a build-and-own job. We have a list of programs we've wanted to launch for a while and haven't had the bandwidth to build. Your job is to take them off the CEO's plate, build them, run them, and keep them running — and to organize the back office so leadership can stop living in the inbox.

If you want to be told exactly what to do every hour, this is the wrong role. If you see a mess and instinctively build the system that fixes it — and you want to work for a company whose word actually means something — keep reading.


What You'll Own

1. Inbox & Communication (the CEO should rarely touch email)


Take full ownership of the CEO's email inbox: triage, organize, label/folder, and clear it out.
Build a daily system: what needs the CEO, what you've handled, what's FYI.
Over your first 60–90 days, earn the trust to draft and then send routine replies on the CEO's behalf, reporting back in a single daily summary. The goal is simple: the CEO stops checking email.


2. Microsoft Teams — Organize It


Restructure Microsoft Teams: channels, files, naming conventions, and folder logic so the whole company can find what it needs.
Keep it organized as we grow.


3. Launch & Run Operational Programs (the core of this role)
You will build these from the ground up, document them, and then run them:


Installer Bonus Program — design and administer a performance bonus structure for our install crews.
Weekly Sales Tech Commissions — calculate and run sales technician commissions every week, accurately and on time.
Commercial Service Program — help stand up a recurring commercial service offering: the process, the workflow, the follow-up system.


4. Own the Hiring, Onboarding & Offboarding Process
We are doubling — you keep hiring organized and make sure nothing falls through the cracks. The CEO and our Technical Managers scan resumes and run the interviews; you own everything around that:


Post the jobs — write and publish job postings for open roles.
Schedule interviews — coordinate calendars and set up interviews between candidates and the CEO / Technical Managers.
Onboarding — once a candidate is hired, ensure 100% of onboarding paperwork is completed correctly and on time, and run them through the onboarding process.
Offboarding — when an employee parts ways, complete the offboarding paperwork and process accurately and discreetly.
Build and maintain the checklists and document templates that make onboarding and offboarding repeatable every single time.


5. Build Our Operating System (SOPs & Documentation)


Create SOPs, process documentation, templates, and operational systems — and do it for an electrical contracting business, where the details matter.
Turn "how we do things" out of the CEO's head and into written, repeatable systems.


6. Personal Assistant Support for the CEO
This role also supports the CEO personally. You will:


Book personal and business appointments and manage the CEO's calendar.
Set up and coordinate returns to retailers (initiate returns, schedule pickups, track refunds).
Categorize personal and family expenses and help maintain the family budget.
Handle other personal-assistant tasks as they come up — this person is a trusted right hand in both business and personal logistics.



What We Need From You

Required


3+ years supporting a CEO, founder, or executive as a Chief of Staff or high-level Executive Assistant — not a general/entry-level VA role.
Proven track record building systems, SOPs, and processes from scratch — please be ready to show examples of operational systems you have built.
Strong, professional written and spoken English. You will communicate on the CEO's behalf.
Comfort with numbers: you will run weekly commissions and a bonus program. Accuracy is non-negotiable.
Highly organized, proactive, and able to make sound decisions without being told.
Trustworthy and discreet — you will handle sensitive financial and personnel information.
Reliable high-speed internet and a quiet, professional remote setup.
Able and willing to work USA Eastern business hours, full-time.


A Strong Plus (not required)


Experience with ServiceTitan and/or QuickBooks.
Experience supporting a trades, construction, electrical, HVAC, or home-services company.
HR, recruiting coordination, or employee onboarding/offboarding experience.
Comfort using AI tools to work faster.
