The role:
An early-stage edge-AI startup automating the gate and yard operations of the global container logistics industry. As the CEO scales the company's go-to-market efforts, his calendar, inbox, and inbound pipeline are growing fast — and he needs a sharp, reliable Executive Assistant to keep all of it organized.

This is a true executive assistant role, not a sales role. Your job is to protect the CEO's time, keep his agenda conflict-free, and make sure nothing falls through the cracks. Because the company is in an active outbound and inbound growth phase, the role will start with core EA work and expand into sales-adjacent support as the campaign matures, so comfort with ambiguity and a willingness to grow into new tools is essential.



What you'll do:
- Own the CEO's calendar end to end: schedule and coordinate meetings, prevent conflicts, manage rescheduling, and keep the daily agenda clean and current.
- Coordinate appointments across multiple time zones and counterparts (U.S., Europe, Middle East, Latin America).
- Manage and triage inbound email; draft, send, and track follow-ups on the CEO's behalf.
- Field and organize inbound responses from prospects coming through LinkedIn, the company website, and email.
- Keep follow-ups, action items, and commitments tracked and nothing forgotten.
- Prepare for meetings: gather context, assemble materials, and confirm logistics.
- Provide general administrative organization that keeps the CEO moving quickly.


How the role grows:
The scope expands in phases as the GTM campaign progresses:

1. **Foundation** — Email and calendar management, scheduling, and follow-ups.
2. **Inbound triage** — Light CRM hygiene and structured handling of inbound interest as volume increases.
3. **Sales-ops support** — Hands-on help with the outreach stack (e.g., Sales Navigator, Smartlead) as the pipeline scales.

You won't be expected to do all of this on day one, but you should be eager to take on more over time.

What we're looking for:
- Proven experience as an executive assistant.
- Excellent English communication, written and spoken, this is the core requirement.
- Strong organization, attention to detail, and follow-through; you catch conflicts before they happen.
- Comfortable owning a busy executive's calendar and inbox with minimal oversight.
- Fluency with Gmail, email-response workflows, and Google Calendar (including delegated access).
- Comfortable managing inbound outreach from LinkedIn and a company website.
- High discretion and sound judgment handling confidential business communications.
- Self-directed, responsive, and reliable during full Pacific business hours.

Nice to have:
- Ability to communicate in multiple languages, especially in Spanish (written) ; English remains the core need, and translation tools can support as needed.
- Exposure to B2B sales operations, CRM tools, or outbound tooling (Sales Navigator, Smartlead, or similar).
- Experience supporting a startup founder or fast-moving small team.
- Familiarity with logistics, supply chain, or technology businesses.




Details:
-Work from home
-$5/hour
-40 hours/week
-Mon-Fri U.S. time
-9am-5pm Pacific Mon-Fri (12am-8am Philippines time, midnight Tues-Sat).
