About the Role:
US-based high-end residential General Contractor seeking a highly organized EA/Project Admin to directly support the Owner and manage our back-office operations, ensuring our field teams can stay focused on execution. Buildertrend and QBO experience is mandatory.
Core Responsibilities:
Executive Support: Manage the Owner’s inbox, calendar, and primary client/architect communications.
Financial Administration: Process AP/AR and manage job costing/invoicing across Buildertrend, QuickBooks Online (QBO), and Adaptive.
Project Setup & Docs: Maintain Buildertrend schedules, draft RFIs, and translate field notes into formal daily logs.
Vendor & Sub Coordination: Distribute bid packages, track material lead times, and manage compliance documents (W-9s, COIs).
Required Software:
Buildertrend, QBO, and Adaptive (Mandatory)
Google Workspace / MS Office
Qualifications:
Proven remote administrative experience with US-based construction companies.
Strong understanding of construction terminology and the project lifecycle.
Excellent written and verbal English communication skills.
Ability to read architectural plans is a major plus.
