Executive Assistant & Business Operations Manager
Remote (Offshore) | Part Time/Full Time

The Role

I run 3 businesses in Australia and I need someone who can actually run me. Not someone who waits to be told what to do. Someone who sees what needs to happen and makes it happen.

This isn't a typical EA role. I need a bulldog. Someone who'll chase me for answers, hold me accountable, and isn't afraid to tell me when I'm dropping the ball. If you're looking for a cruisy admin job, this isn't it.

What You'll Be Doing

**Calendar & Meetings** (We use a lot of different tools, to make this easy for you!)
- Manage my weekly calendar across all three businesses
- Prep me for every meeting. Agendas, context, what I need to know
- Make sure I turn up ready and leave with clear next steps

**Inbox & Comms**
- Manage email, DMs, the lot
- Keep key people lists current (clients, partners, team, personal)
- Draft replies, filter the noise, flag what matters
- Nothing falls through the cracks on your watch

**Systems & Execution**
- Turn my goals into actual execution plans
- Build and run task systems that work
- Weekly resets. Review what's done, plan what's next
- Create order out of chaos

**Delegation & Accountability**
- Chase updates without me asking
- Assign tasks, set deadlines, get confirmations
- Follow through until it's actually done
- Hold people accountable, including me

**Business Ops Support**
- Track invoices, chase overdue payments
- Check in with Karl (Sales) on leads and pipeline
- Flag issues before they become problems
- Light ops support across the businesses

**Decision Support**
- Bring me solutions with issues, not just problems
- One page summaries so I can decide fast
- Do the research, give me options, then execute

**Confidentiality**
- Handle sensitive business and personal info with total discretion
- Need to know policy across teams
- You're the gatekeeper

What I'm Looking For

**Experience:**
- 5+ years as an EA, Chief of Staff, or Ops Manager (ideally supporting founders)
- You've managed complex calendars and multiple stakeholders before
- You build systems, not just follow them
- Strong written and verbal English
- Comfortable with Aussie business hours or can be flexible on timezone
- Tech savvy (Google Workspace, project management tools, CRMs)

**Personality:**
- Proactive as hell. You anticipate what's needed before I ask
- Organised to the point where it's borderline obsessive
- High ownership. If you see it, you own it
- Thick skinned. You can handle direct feedback and pressure
- Assertive. You're not afraid to push back when needed
- Discreet. You can be trusted with anything
- You bring solutions, not excuses

**Bonus:**
- Experience with Australian companies
- Startup or fast paced environment background
- Managed remote teams or contractors
- Know your way around basic business ops, finance, or sales
