JOB OVERVIEW

Role: Virtual Assistant – Customer Support, Scheduling & Social Media

What You’ll Do
As a Virtual Assistant for our fast-growing car detailing business, you’ll take ownership of client communication, booking appointments, following up with leads, and managing our social media presence. You’ll be a key part of our daily operations—keeping things organized, improving customer service, and making sure no lead slips through the cracks.

Key Responsibilities
Client Communication & Booking

-Answer incoming calls and book client appointments using our scheduling system
-Respond to email leads and direct messages in a timely, professional manner
-Track and follow up with potential clients to convert leads into appointments
-Maintain a daily/weekly lead tracker and performance report
-Provide reminders and confirmations to reduce no-shows

Social Media Management

-Post engaging content (photos/videos/reviews/promos) to our Instagram, Facebook, and TikTok
-Schedule posts and manage a content calendar
-Respond to comments and messages in a timely manner
-Repost user-generated content and promote before-and-after detailing work
-Use Canva or similar tools to create simple, on-brand graphics

General Admin Support

-Organize and maintain digital files
-Track client feedback, reviews, and referral activity
-Prepare simple reports (e.g., leads closed, appointments booked, engagement stats)
-Help improve daily workflows and customer communication systems


Must-Haves:

-experience in a customer service or admin role (VA or similar)
1+ year experience working with a U.S.-based service business (remote ok)
-Excellent spoken and written English (calls, messages, emails)
-Strong organizational and time-management skills
-Proficient in Google Workspace (Gmail, Sheets, Docs)
-Familiar with booking systems and CRMs (or a quick learner)
-Basic Canva and social media posting/scheduling tool experience
-Proactive, responsive, and dependable — no ghosting, no missed follow-ups
-
Solid internet connection and power backup plan
Nice-to-Haves:

Experience working with automotive or service-based businesses
Familiarity with platforms like GoHighLevel, Square, Calendly, or Hubspot
Prior work managing business accounts on Instagram, TikTok, or Facebook
