JOB OVERVIEW

About:
I’m a busy real estate agent looking for someone highly organized who can help me manage my email and keep my CRM updated so nothing falls through the cracks. My current business has left me with information overload, and since I am driving most of the day from appointment to appointment, I can’t keep up. I need someone who can help me stay organized and focused by reading through the chaos, summarizing what I need to know and telling me what I need to do next – while I’m out there actually doing it. I am not looking for a task assistant. I am looking for someone who can analyze, organize, and summarize information.

Main Responsibilities:
Clean and organize my inbox daily (approx. 100 emails/day)
Delete spam and file non-important emails
Keep only important emails visible in the inbox
Read long email threads and summarize them clearly
Send simple acknowledgment replies (example: “I’ll let Holly know and she will follow up”)
Update my CRM (Follow Up Boss) with notes and follow-ups from ai transcriptions of calls
Make sure no lead or important conversation gets missed
Enter follow-up dates in my calendar
Daily remind me of who I need to call and why

What I need from you:
I do NOT want long forwarded email chains.
I want clear summaries like this: Damaris - 123 Main Street: The buyer agent agreed to your suggestion of a 5k credit, and she already sent the addendum. I told her you would get back to her by tomorrow. I left the email with the addendum for you and filed the rest into Damaris’s file.

You are a good fit if:
You love an empty mailbox
You are extremely organized
You think in bullet points
You can keep track of details
You take pride in keeping things clean and structured
You think organizational systems like a CRM are tools that help you do what you do
You can quickly understand conversations and pull out key points
Experience with Follow Up Boss is a bonus, but not required
Experience in real estate is a bonus, but not required

Hours & Pay:
Part-time to start (approx. 10 hours/week)
$5–$8/hour depending on experience
This role will start focused on email and CRM management.
If you do well in this role, there is strong potential to take on additional responsibilities and increase hours over time. I prefer to build long-term working relationships and grow with the right person.
