Job Brief
We are seeking a skilled and highly organized Project Coordinator to join our team. In this role, you will play a pivotal part in supporting our Projects, Mechanical, Energy, and Services Divisions to achieve their business objectives through effective administrative and organizational support.
Requirements
Experience in Projects Administration within construction, engineering, mechanical, electrical, energy, or building services environments.
Electrical Engineering background or qualification, or strong experience supporting electrical engineering or electrical project environments.
Strong written and verbal communication skills.
Commercial acumen and awareness.
Effective organizing and planning skills.
Basic Project Administration experience including cost control and document handling.
Exposure to Electrical industry terminology or systems would be highly advantageous.
Experience with Mechanical Controls, HVAC Controls, Building Automation Systems (BAS), Building Management Systems (BMS), PLC, SCADA, commissioning, or facilities management environments is highly desirable.
Familiarity with Workplace Health & Safety (WHS) requirements and compliance documentation.
Responsibilities
Customer Relationship Management:
Maintain professional customer relationships to ensure client satisfaction.
Serve as a point of contact for client inquiries and concerns.
Project Support:
Collaborate with Project Teams and Project Team Leader to ensure the smooth execution of projects.
Participate in meetings to contribute to the achievement of project objectives.
Assist in developing construction programs, project planning, and design activities.
Documentation Management:
Set up and maintain project folders and initial site documentation, including Safe Work Method Statements (SWMS), start-up documentation, job folders (both electronic and paper), and document control.
Manage ongoing project documentation, including Inspection Test Plans (ITP), Inspection Test Checklists (ITC), manuals, photos, and evidence of project progression.
Stakeholder Liaison:
Act as a liaison and provide support to the Projects team for interactions with subcontractors, head contractors, and clients.
Assist in managing communications and relationships with external stakeholders.
Health & Safety Support:
Support Workplace Health & Safety initiatives across the organization.
Conduct random site inspections to confirm compliance with WHS and company policies.
Procurement Assistance:
Assist with procurement-related tasks, including tracking of major order deliveries, purchasing and negotiations for materials, and supplier communications.
Manage Supply Authority submissions and compliance certificates.
Document Control:
Ensure adherence to document management system policies.
Effectively respond to project communications and assist in the closeout of projects.
Project Delivery:
Support the implementation of Project Delivery plans, ensuring compliance with contractual and design guidelines, cost control, timelines, and milestones.
Identify opportunities for variations and increased project value.
Safety:
Actively participate in safety initiatives, report unsafe situations, injuries, and hazards, and maintain a safe work environment.
Personal Development:
Continuously enhance skills and competencies through self-development, including reading, research, and other means.
Education
Bachelor’s Degree in Electrical Engineering, Mechanical Engineering, or a related technical field.
