About the Role
We are a growing Australian early childhood education organisation seeking a highly organised and detail-oriented Document Controller & Compliance Administration Assistant to support our leadership team.
This role is ideal for someone who enjoys creating order, managing systems, and ensuring documents are accurate, professional, and easy to locate.
Initially, the role will focus on document control, policy management, register maintenance, and digital file organisation. Over time, there will be opportunities to take on broader administrative and project support responsibilities.
We are looking for someone who takes pride in organisation, has exceptional attention to detail, and enjoys improving systems and processes.
Key Responsibilities
Document Control & Policy Management
• Format and maintain policies, procedures, forms, and templates.
• Update version numbers, review dates, and document registers.
• Archive superseded documents and maintain version control.
• Ensure all documents are professionally formatted and consistent with company branding.
• Assist with the preparation and organisation of compliance documentation.
Google Drive & Records Management
• Organise and maintain Google Drive filing systems.
• Create and maintain folder structures and naming conventions.
• Identify and remove duplication.
• Ensure documents are easy to locate and correctly filed.
• Maintain document libraries and records registers.
Compliance Administration
• Maintain policy review registers and compliance trackers.
• Update training, audit, and action registers.
• Assist with organising documentation for internal reviews and regulatory requirements.
• Monitor document review schedules and notify the leadership team of upcoming deadlines.
General Administrative Support
• Prepare meeting agendas, templates, and action trackers.
• Maintain project documentation.
• Assist with data entry and spreadsheet management.
• Support the leadership team with administrative projects as required.
About You
You are:
• Highly organised and methodical.
• Detail-oriented and accurate.
• Comfortable working independently.
• Confident using Google Workspace and Microsoft Office.
• Able to follow processes while identifying opportunities for improvement.
• A strong communicator with excellent written English.
Essential Requirements
• Previous experience in administration, document control, records management, executive assistance, compliance administration, or a similar role.
• Advanced Microsoft Word skills.
• Strong Google Drive and Google Workspace experience.
• Excellent written and spoken English.
• Reliable internet connection and suitable home office setup.
• Ability to maintain confidentiality and handle sensitive business information.
Highly Regarded Experience
• Document Controller experience.
• Quality Assurance or Compliance Administration experience.
• ISO, quality management systems, or audit support experience.
• Supporting Australian businesses.
• Experience in education, healthcare, professional services, construction, or regulated industries.
