JOB OVERVIEW

Your job is to make sure the right stock is in the right place at the right time - across UK and US - for a fast-growing jewellery brand.

Job Opportunity: Demand Planner & Inventory Analyst

We are D.LOUISE, one of the UK’s fastest-growing women’s jewellery brands, with a rapidly expanding footprint in the US. We sell direct-to-consumer through Shopify and run UK and US 3PLs. We move fast, we run lean, and we use AI to multiply what a small team can do.

We’re hiring a Demand Planner & Inventory Analyst to own one of the most important jobs in our business: making sure we have the right stock in the right warehouse at the right time, without tying up cash in overbuys or losing sales to stockouts.

This is a deep, analytical, numbers-heavy role. You will live inside our WSSI, our PO process, our supplier relationships, and our stock dashboards. You are the person who flags a re-buy three weeks before anyone else notices we’re short. You are the person who spots that the US warehouse is overstocked on a SKU that the UK is selling out of, and proposes the transfer.

This role also requires you to be AI-first — not curious about AI, but already using it every day to do more, faster, and better. If AI isn’t already changing how you work, this role isn’t for you.

Key Responsibilities

Inventory & Demand Planning
• Own and maintain the WSSI/MSSI — weekly stock, sales and intake — across UK and US.
• Forecast demand by SKU and channel. Flag re-buy risks early. Pressure-test supplier lead times.
• Balance stock between UK and US warehouses to avoid overstock in one market while stocking out in another.
• Minimise overbuys on slow lines, maximise availability on core lines, and keep buys aligned to the commercial budget and cash-flow forecast.

Purchase Orders & Supplier Coordination
• Own the PO process end-to-end — raise, track, chase, confirm receipt against the WSSI.
• Maintain positive day-to-day relationships with suppliers and freight forwarders. Confirm terms, lead times, and shipment status.
• Coordinate inbound freight from suppliers into UK and US 3PLs — importation, customs documentation, and clearance.

Reporting & Stock Visibility
• Build and maintain dashboards that surface stock health — cover, sell-through, ageing, intake vs forecast — visible to the leadership team.
• Surface weekly insights: what’s at risk, what’s overstocked, what to re-buy, what to mark down.
• Partner with finance on landed cost, margin, and cash-flow impact of buying decisions.

You’re not a fit for this role if
• You haven’t owned a WSSI/MSSI before in a real working business.
• You haven’t worked in DTC e-commerce or retail.
• You’re not strong in Excel / Google Sheets at a model-building level (pivots, lookups, advanced formulas, scenario modelling).
• You see AI as a “nice to have” rather than core to how you work.

You’re a fit if
• 3+ years in demand planning, inventory analysis, merchandise planning, or buying — specifically in DTC e-commerce, retail, or fashion.
• Hands-on experience with WSSI/MSSI to manage and report on stock-on-hand positioning.
• Strong analytical thinker. You procure and treat data efficiently. Excel and Google Sheets are second nature — pivots, lookups, advanced formulas, scenario modelling. Bonus if you’ve worked with Looker, BigQuery, or ERP/inventory tools.
• Sharp problem-solving instincts. You spot patterns and anomalies in data before anyone tells you to look.
• Understanding of P&L structures — COGS, direct costs — and how product margins flow to the bottom line.
• Understanding of e-commerce marketing activity and how it impacts demand (campaigns, promos, BFCM, paid spikes).
• AI-first. You use AI tools (ChatGPT, Claude, n8n, automations) daily to make yourself more productive. You can show us examples.
• Excellent written English. You’ll be communicating with UK / US teams and suppliers in writing, often async.
• Comfortable in a small, fast-moving team. You can take on adjacent work when needed without losing focus on your core role.

How to Apply
Applications that don’t follow these instructions will not be reviewed. We’re looking for people who read carefully, follow instructions precisely, and care about detail. The application itself is your first test.

1. Put the word “Gold Jewellery” in the subject line of your application.
If you don’t include this word, your application will be rejected without being read. This is how we know you actually read this job spec.

2. Record a 2-5 minute Loom video answering these three questions:
1. Walk us through a WSSI you’ve owned. What did it look like, and what did you do with it?
2. Tell us about one AI tool or workflow you use every day, and how it has changed your work.
3. Walk us through your screen — show us a recent Excel or Google Sheets model you built.
Talk us through what it does.
Don’t over-produce it. We’re looking at how you think and communicate, not your video editing.
3. Attach your CV and a one-paragraph summary of why you’re interested in this role specifically.

If you pass the first round you will move onto a paid task.
